Overall Summary:BACH Dental Program Managers are responsible for the successful management and operation of the site(s), and to assure the smooth operation of clinic based services and achievement of team-based productivity benchmarks. The Dental Program Manager monitors on-site dental clinic operations and is responsible for addressing and resolving day-to-day issues effecting clinic inefficiencies in patient flow by addressing system problems in a resourceful and effective manner. The Dental Program Manager makes scheduling adjustments necessary to improve or achieve optimal patient flow and monitors staff for safety and compliance related issues. This position must provide leadership in establishing and maintaining a professional and respectful environment that supports teamwork while promoting the dignity, privacy and confidentiality of patients, their families, co-workers and volunteers. The Dental Program Manager works closely with operations staff to support and achieve BACH’s goals and objectives including organizational quality and patient-centered care. This position has the ultimate authority to make changes in site operations, staff scheduling and discipline for all non-provider staff at that site, and works closely with Senior Clinical Leadership in resolving issues with site providers.Essential Responsibilities:Under the general direction of Director of Clinical Operations, the Dental Clinic Manager performs a variety of complex, professional, analytical, and confidential dental services. Duties include:Personnel Management, Training & Coordination:Serve as liaison between Dental Director(s), Dental Supervisors, other clinical support staff, front desk, and administrative staff.Interview, hire, train, supervise, and evaluate clinic personnel.Working under the direction of the Director of Clinical Operations, responsible for all activities at the particular site, including monitoring and addressing clinic flow issues to maintain smooth operations and allow staff to provide high quality and timely care and services to patients.Work with the scheduling team to manage the Provider schedules and make adjustments due to last minute time off requests to meet the number of patient visits needed to support goals and objectives for patient volumeMake site staffing allocation decisions and adjustments when necessary, such as determining if too many staff are on hand or not enough staff is presentMonitors staff and arranges for training and/or counseling when needed to meet customer service expectationsCoordinate audit preparation at the site and serve as site point person during the auditPlan, evaluate, recommend and implement new initiatives when appropriateSelect and hire employees according to established guidelines. Monitor, coach, develop and evaluate performance of staff on an ongoing basis in accordance with applicable performance standards.Oversee licensed clinical staff in adherence to programs, protocols, quality assurance guidelines and ensure licenses are in good standing.Coordinate dental providers and clinic personnel schedules.Coordinate and document staff trainings, continuing education and staff meetings.Review staff time for payroll.Maintain current personnel information, certifications, licensures, and staff health exams etc.Conduct performance reviews and competency evaluations.Prepare documentation for clinic audits.Work to reach assigned quality metric, and implement interventions, as necessary, based upon productivity and compliance rate reports.Increase clinic productivity including maintaining standards levels of the clinicProgram, Systems & Procedures/Protocols Management:Maintain all dental protocols and provide for updates, as necessary.Participate in an ongoing quality assurance review activities.Arrange, participate in, and document, Clinic Program Manager huddles, monthly huddles and Breakout Sessions, and Clinic Operations meetings.Attend trainings or meetings as directed.Purchasing & Inventory control:Purchase dental supplies, medications, and equipment.Maintain inventory logs, storage areas, crash cart, and emergency equipment.Arrange for routine equipment servicing and prompt repairs when needed.Safety:Follow all safety procedures and report unsafe conditions to ensure an injury-free work environment.Use appropriate ergonomic measures to reduce risk of work-related injuries.Collaborate in department investigations and incident reporting including worker’s compensation.Supervisory Responsibilities:This job has supervisory responsibilities; candidate must be able to work flexible schedules, including evenings and weekends-Other:Must be able to travel and work at all applicable locations.Availability to work all operational hours as needed.Other tasks and projects as assigned by Directors of Clinic ServicesSecondary Responsibilities:Other duties as assigned.Assume general administration duties including fax, filing, copying, etc.Attend webinars, workshops, training and/or meetings, as requestedPerform special project research and data collection activities, as requestedCollaborate with Outreach department with community events, as appropriateQualifications:B.A. degree in Nursing, Health Sciences Administration, MPH or other related health field or equivalent combination of education and work experience.Minimum of two years of related experience including the oversight of day-to-day operations of a medical clinic.Two years of recent supervisory experience, community health centers strongly desired.Proficient in Microsoft Office products including Power Point, Excel, Word or equivalent software products.Bilingual preferredWork Conditions:The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.
