Job summary

Lightwave Dental Management LLC is seeking an Assistant Practice Manager to support daily operations, staff development, and patient care. The role includes assisting with HR tasks, payroll, and staff meetings, while ensuring budgets, KPIs, and audits are met. The APM acts in the Practice Manager's absence when needed.

The ideal candidate has dental industry experience, strong leadership, and communication skills, with a focus on continuous improvement and high-quality patient service.

Qualifications

• Bachelor's or Associate's Degree preferred or equivalent combination of education and experience.
• 1 year of experience in a dental or related field.
• 2–3 years of supervisory/management experience in a dental or similar field.
• Knowledge of dental terminology.
• Knowledge of dental office procedures.
• Knowledge of insurance plans and claims processing.
• Knowledge of MS Office 365.
• Strong communication skills.
• Proven leadership, training, written and verbal communication abilities to drive results.
• Strong problem-solving, decision-making and risk assessment capabilities.

Responsibilities

• Foster a strong working relationship among staff and assist the Practice Manager with concerns.
• Work with the Practice Manager on recruitment, onboarding, team development, retention and performance.
• Ensure KPIs, forecast results, and meet or exceed budget/production; ensure financial data balance and audits.
• Respond efficiently to patient and doctor needs and inquiries.
• Ensure delivery of quality dental care to patients.
• Ensure areas of the practice are customer-ready.
• Monitor the schedule to effectively schedule staff.
• Assist with HR and payroll documents; ensure accuracy of time sheets.
• Conduct regular staff meetings and daily huddles to improve communication and development.
• Resolve patient issues per company policies.
• Perform additional tasks to achieve practice/organization goals.
• Serve as on-site HIPAA contact person.
• Audit daily follow-up and track missing items.
• Support marketing and promotion activities to attract new patients.
• Assist as media liaison and update webpage and social media spotlights.
• Learn from the Practice Manager and perform all Practice Manager tasks as needed.
• Participate in educational opportunities and professional networking.
