Qualifications

• 3+ years of management experience in a dental setting.
• Strong leadership, coaching, and motivation abilities.
• Exceptional patient care and customer service skills.
• Business acumen: monitor production/collection, read P&L reports, manage budgets, and set/reach goals.
• Ability to adapt, multitask, and support the team in varying roles.
• Proactive and solution-oriented mindset with effective problem-solving.

Responsibilities

• Manage and coordinate all aspects of the dental office’s daily activities, including patient scheduling, appointment management, and patient flow.
• Ensure smooth and efficient office operations by optimizing workflows and managing patient wait times.
• Act as the primary contact for patients, addressing concerns and inquiries in a timely and professional manner.
• Ensure patients are well-informed about treatment plans, financials, and post-care instructions, delivering excellent service.
• Supervise, train, and evaluate staff including receptionists, assistants, hygienists, and coordinators.
• Promote a positive work environment with teamwork, professionalism, and continuous learning.
• Coordinate staff schedules to cover appointments and adjust as needed.
• Monitor performance, provide feedback, and conduct reviews for all team members.
• Oversee billing, insurance verification, and timely collection of payments.
• Manage accounts receivable and payment plans with patients and insurers.
• Develop and manage office budgets and track expenses within budgetary constraints.
• Prepare financial reports, monitor profitability, and suggest improvements.
• Ensure compliance with OSHA, HIPAA, ADA, and other regulations.
• Maintain up-to-date knowledge of dental laws and industry standards.
• Implement and enforce office policies and procedures for consistency.
• Ensure confidential patient recordkeeping complies with HIPAA.
• Develop and execute marketing strategies to attract and retain patients; manage online presence, social media, and local advertising.
• Coordinate patient outreach, recall systems, and appointment reminders.
• Collaborate with dentist/practice owner on growth strategies and market trends.
• Identify opportunities to expand services and increase patient volume.
