Job description

Job Description: Office Manager – Smiles by Mario Montoya (Atlanta)
  • Location: Atlanta, GA
  • Reports to: Managing Director / Ownership
  • Type: Full-Time
The Mission

We are looking for a high-performing, operationally-minded Office Manager to lead our Atlanta practice. You won't just be "managing an office"; you will be the custodian of the patient experience and the driver of our financial health. At Smiles by Mario Montoya, we prioritize precision, premium service, and streamlined operations. Your goal is to ensure the practice runs like a well-oiled machine, allowing our clinical team to focus entirely on life-changing dental transformations.

Key Responsibilities
1. High-Value Treatment Plan Coordination

The ideal candidate must possess a proven track record of managing and closing high-ticket, comprehensive cosmetic and reconstructive treatment plans (ranging from $20,000 to $50,000+), such as full-mouth premium veneers, custom crowns, and All-on-X restorations. You must be deeply comfortable navigating the psychological nuances of luxury sales, confidently addressing financial objections, and presenting third-party financing solutions (e.g., CareCredit, Sunbit) to maximize case acceptance rates. This role requires someone who doesn't merely "present numbers," but actively closes cases while ensuring full down payments or structured financial commitments are secured at the time of service, directly protecting and driving our Net Collections model.

2. Operational Excellence & SOPs
  • Process Management: Maintain and enforce the "Practice Bible" (SOPs), ensuring every team member follows established protocols for billing, patient intake, and clinical workflow.
  • Digital Organization: Manage the practice's OneDrive and cloud infrastructure, ensuring all documentation, patient records, and marketing assets are organized and accessible.
  • Software Mastery: Act as the internal expert for our practice management software (Curve), ensuring accurate data entry, scheduling, and reporting.
3. Financial Management
  • Revenue Cycle: Oversee billing and production management. You are responsible for ensuring that all services are coded correctly (including provisional codes for veneers, crowns, and all-on-X).
  • Net Collections Focus: Manage the financial health of the practice based on a Net Collections model. You will track aging accounts, manage insurance claims (if applicable), and ensure patient payments are collected at the time of service.
  • Inventory & Overhead: Monitor office supplies and clinical inventory to minimize waste and optimize spend.
4. Patient Experience & Coordination
  • The "Sarah" Integration: Work alongside our AI assistant, Sarah, to ensure patient inquiries are handled seamlessly and that the human-to-AI handoff is invisible to the patient.
5. Team Leadership
  • Accountability: Lead the front-desk and support staff, fostering a culture of accountability and high performance.
  • Onboarding: Manage the training and integration of new hires into the "Smiles" way of doing business.
The Ideal Candidate
  • The Experience: 5+ years of experience in dental office management, preferably in high-end cosmetic dentistry or multi-specialty practices.
  • The Tech-Savvy: You are a "power user" of technology. Experience with Curve Dental is a significant plus. You should be comfortable navigating cloud storage and digital communication tools.
  • The Mindset: You believe in making things easier through standardization. You are a problem-solver who hates "workarounds" and loves efficient systems.
  • Financial Literacy: You understand the difference between gross production and net collections and know how to move the needle on the latter.
  • Communication: Exceptional verbal and written communication skills—you represent a premium brand and should sound like it.
Why Join Us?

You will be working directly with a visionary ownership group that values innovation and technology (including Agentic AI). This isn't a stagnant role; it's an opportunity to manage a premium practice in a fast-paced, growth-oriented environment where your ability to create order out of chaos will be directly rewarded.

Note to Candidates: We are not looking for a "placeholder." We are looking for a leader who treats this business as their own and takes pride in the "Smiles by Mario Montoya" reputation.
