Job Summary
Under the direct supervision of the Dental Office Manager/Dental Contact Center Supervisor, or their delegate, facilitate a timely and orderly process of serving the patient from appointment and provider scheduling to completion of office visit information. Assist other staff functions in support of members' needs.
Essential Responsibilities
- All Dental Facilities: Effectively communicate with members and other office employees. Provide and request information of other departments and external firms. Assist other staff members and providers as needed to ensure orderly and efficient patient care. Explain to patients how they can get various information, e.g., our Information Center, their benefits office, etc. Represent Kaiser Permanente positively. Dental Offices Only: Receive patients during check-in and check-out. Maintain current daily schedule. Document arrivals, cancellations, reschedules, etc. Instruct new patients to fill out Health Questionnaire and Personal Data Form. Verify and update personal data. Determine, explain, and collect all fees for services rendered based on patient benefits, fee schedule, and cash policy. Ensure prompt attention in reception, review visit slips, confirm future appointments, and enter treatment data into the computer. Schedule, cancel, and reschedule patient appointments.
- Answer staff questions about daily schedules, relay pertinent info affecting treatment or flow, verify schedules, and respond to chart requests. Notify auxiliary staff of emergencies. Complete reports, balance cash drawers, and perform other duties as assigned by the Dental Office Manager.
- Dental Contact Center/Staff Scheduling Center Only: Schedule patient appointments, maintain department performance awareness, handle calls, confirm/cancel/reschedule appointments, and respond to urgent requests. Maintain knowledge of scheduling protocols and assist staff accordingly.
- Follow policies on time management, confidentiality, and professionalism. Maintain a positive attitude, address members respectfully, and assist customers or connect them to the appropriate personnel.
Experience
Basic Qualifications:
- Six (6) months of healthcare/dental care or cash handling/customer service in a high-volume environment.
- Current KP Coalition employees are exempt from this experience requirement.
Education
- High School Diploma or GED required.
Additional Requirements
- Excellent verbal and written English communication skills.
- Strong organizational skills, flexibility, and multitasking ability.
- Professional telephone and reception manner.
Preferred Qualifications
- Two (2) years dental office experience.
- Dental office and computer skills.

- Eligible for differential in West Service Area Replacement Pool.
- Must meet contractual availability requirements.
- This role supports core employees for pre-scheduled, next-day, and same-day coverage in the West service area.
