Job description

Job Summary:

Under the supervision of the Dental Office Manager/Dental Contact Center Supervisor, facilitate the patient service process from appointment scheduling to office visit completion. Support staff functions to meet members' needs.

Essential Responsibilities:
  1. All Dental Facilities: Communicate effectively with members and staff. Provide and request information, assist staff and providers, and represent Kaiser Permanente positively. Handle patient check-in/check-out, maintain schedules, document visits, verify and update patient data, process payments, and schedule future appointments. Ensure prompt patient attention, review visit slips, confirm appointments, and enter treatment data into the system. Answer staff questions, verify schedules, respond to chart requests, handle emergency scheduling, and maintain office cleanliness and records. Manage cash duties and respond to emergencies following protocols. Send charts to other clinics and inventory supplies.
  2. Dental Contact Center/Staff Scheduling Center: Schedule patient appointments, meet performance targets, handle calls, confirm/cancel/reschedule appointments, screen for emergencies, initiate chart requests, and understand provider scheduling protocols. Assist dental staff with scheduling questions and perform other duties as assigned.
  3. Follow policies on time management, attendance, confidentiality, and professionalism. Be punctual, maintain confidentiality, demonstrate courtesy, and provide assistance as needed.
