Dental Front Desk Representative
Job Details
- Status: Full-time (40 hours per week), non-exempt
- Schedule: Monday - Friday (8:00 AM - 5:00 PM, 8:30 AM - 5:30 PM, or 9:00 AM - 6:00 PM)
- Salary Range: $21.00 - $25.50/hour (This is the full salary range for the position, not the starting pay range; starting pay is based on experience and internal equity.)
- Location: In person, must be willing to work out of both the Santa Barbara clinic and Carpinteria clinic, as assigned.
Position Summary
The Dental Front Office Representative is an important member of the care team, helping coordinate patient services and maintain an orderly, timely patient flow. This role supports front desk reception, appointment scheduling, incoming calls, patient registration, benefits eligibility and enrollment, and verification of Urban Indian eligibility under Indian Health Service guidelines. Team members rotate between front desk, call center, and benefits eligibility responsibilities.
Key Responsibilities
As part of our team, you’ll:
- Check and process telephone messages continuously.
- Maintain accurate and up-to-date registration data by entering information on the same day.
- Interact professionally with individuals of diverse backgrounds and needs.
- Review insurance details and billing concerns with patients.
- Prepare new patient records and ensure existing charts are complete with current forms and demographics.
- Confirm upcoming appointments via automated systems or direct communication, schedule follow-ups, and contact patients with missed appointments.
- Enter client information into an electronic health record system and maintain precise documentation.
- Ensure all registration, notices, and consent forms are completed, signed, and sent to Medical Records for electronic scanning.
Qualifications
- Experience using an electronic health record and general computer proficiency.
- Ability to communicate clearly and respectfully with patients in person and by telephone.
- Ability to interpret and apply standard regulations and procedures while maintaining accurate records.
- Strong organization, active listening, and customer service skills.
- Ability to maintain composure in sensitive or high-pressure situations.
- Compassion for the needs of others and a collaborative, team-oriented approach.
- Basic understanding of medical terminology.
Education:
- High school diploma, GED, or equivalent from an accredited institution.
Skills & Experience:
- Experience in a medical or dental clinic
- English and Spanish fluency is required
