POSITION: Medical Front Office Representative

Location: Santa Barbara, California 93110
Pay Range: $25.00-$27.00 per hour. Please note that this is the current salary range for the position. Starting pay rates are determined based on years of experience and internal equity.
POSITION SUMMARY
The Medical Front Office Representative serves as a key member of the patient care team, providing exceptional customer service while supporting patient registration, appointment scheduling, benefits enrollment, and eligibility verification. This role helps ensure patients receive timely access to care by coordinating front desk and call center services in a fast-paced healthcare environment.
ESSENTIAL FUNCTIONS
- Greet and assist patients in person and by phone, providing exceptional customer service.
- Register new patients and maintain accurate demographic, insurance, and eligibility information in the electronic health record (EHR).
- Determine eligibility for insurance and public assistance programs, and assist patients with benefit enrollment applications.
- Explain available programs, services, and eligibility requirements to patients and families.
- Verify insurance coverage, address billing-related concerns, and coordinate referrals to appropriate resources when needed.
- Schedule, confirm, and reschedule patient appointments while supporting efficient clinic operations.
- Conduct appointment reminder calls and follow up on missed appointments according to organizational procedures.
- Maintain complete and accurate patient records, including required registration, consent, and insurance documentation.
- Scan and upload patient identification, insurance cards, and other required documents into the electronic record.
- Assess patient needs and connect individuals with services such as transportation, social services, and community resources.
- Document patient interactions and actions taken in accordance with organizational and regulatory requirements.
- Support front desk and call center operations through daily rotation assignments.
- Provide English and Spanish interpretation/translation services as needed.
- Collaborate effectively with providers, care teams, and coworkers to support quality patient care.
- Participate in quality improvement initiatives and contribute to a positive patient experience.
MINIMUM QUALIFICATIONS
- One (1) year experience in medical office or clinic
- Knowledge of non-profit, FQHC healthcare operations
- Excellent communication skills
- The ability to read, write and speak English
- The ability to read, write and speak Spanish
- Computer literate, experience in using electronic health record
Physical Requirements
- Ability to sit for extended periods and regularly use hands and arms to reach, handle, and operate office equipment.
- Ability to bend, stoop, stretch, and move throughout the clinic environment as needed.
- Manual dexterity and hand-eye coordination sufficient to operate computers, telephones, copiers, and other office equipment.
- Ability to communicate effectively in person and by telephone, including hearing and visual acuity necessary to perform job duties.
- Ability to occasionally lift and carry up to 40 pounds.
- Ability to work at various locations and assist with other duties as assigned.
- Valid California driver's license and reliable transportation may be required.
