Job Description
Position Title: Scheduling Coordinator / Treatment Coordinator
Job Summary: The Scheduling Coordinator represents the practice in all facets of patient services, including greeting patients, answering phones, scheduling appointments, maintaining patient records, and coordinating patient flow.
Essential Duties:
- Greet visitors and patients, and notify staff of arrivals.
- Answer calls, provide information, and take messages following practice procedures.
- Schedule and adjust patient appointments to optimize care.
- Maintain and update patient files (address, phone, insurance, etc.).
- Communicate financial options to patients per protocol.
- Reconcile financial records by recording payments.
- Prepare correspondence, memos, referral letters, and documents as requested.
- Transmit information via computer or fax as needed.
- Keep the front desk and reception area clean and organized.
- Check patients in and out efficiently.
- Call patients the day before to remind them of appointments, or monitor automated systems for accuracy.
- Handle prior authorizations daily.
- Follow all safety and health regulations.
- Monitor and adjust the schedule as necessary, rescheduling patients when needed.
- Inform staff and doctors of scheduling issues.
- Register new patients, provide necessary paperwork, and ensure completion.
- Use Recall Protocol to reactivate patients and follow up on unscheduled treatments.
Knowledge, Skills, and Abilities:
- Knowledge of appointment coordination procedures.
- Proficiency in English grammar, spelling, and punctuation.
- Skill in using office equipment and software (MS Office, Practice Management software).
- Ability to remain professional and composed under stress.
- Ability to build trust with staff and patients.
- Strong organizational and task management skills.
- Willingness to accept constructive feedback.
- Ability to understand and follow instructions.
- Maintain confidentiality and draw valid conclusions from data.

Education and Experience:
- High school diploma or equivalent.
- At least 3 years of relevant experience in the dental field.
- CPR or first aid certification may be required.
- Exposure to chemicals, radiation, and busy environments may occur.
