Job summary

HEARTLAND-BUSINESS-SYSTEMS-LLC in Wisconsin is seeking a Delivery Support Specialist to ensure smooth day-to-day operations for the delivery team, coordinating with Team Leads, Solutions Consultants, and multiple business units.

You will schedule and track service engagements, quote services with proper margins, monitor renewals and licenses, and assist with forecasting and project planning. Strong communication and organization are essential for success.

Qualifications

• 2+ years of administrative and/or office support experience including scheduling, planning.
• 1+ years of experience utilizing a ticketing or service management platform to manage scheduling, assign tasks, monitor work progress, produce reports, and support operational research.

Responsibilities

• Collaborate with Inside Sales and AR to monitor service intake boards and new delivery engagements.
• Monitor and respond to presales support requests and help assign resources.
• Quote services with accurate margins, pricing, and product descriptions when quoting clients.
• Track contract/license expirations and coordinate renewals or modifications with Sales.
• Create Statements of Work (SOW) that fit guidelines and provide tailored support.
• Assist Leaders with quoting, forecasting and project scheduling improvements.
• Troubleshoot billing errors and coordinate credits/rebills with AR.
• Support service agreement setup and invoicing processes.
• Review agreements for accuracy where appropriate.
• Collaborate with Sales, Finance and other units.
• Contribute ideas for process improvements and service development.
• Assist with marketing and special projects as defined by Operations Manager.
• Perform and support business-unit processes and timesheet accuracy.
• Attend Leadership meetings as requested.
• Provide admin/clerical support for the team.
• Cross-train with other members supporting different units.
