Job Description

SUMMARY

The Dean of Enrollment Services is responsible for the direct oversight and administration of policy and procedures related to the strategic enrollment management initiatives of the college including recruitment, admissions, student records, financial aid, student advising and testing and student support services. This position reports directly to Vice President for Student Affairs.

The Dean plans and develops recruitment efforts and communications as well as the policies and procedures for the Admissions and Records Department while ensuring the security and confidentiality of academic records, for all campuses. The Dean serves as the Chief Admissions Officer for the institution.

This position requires a professional appearance and demeanor as well as strong communication and computer skills. High energy and a positive approach to working with students and colleagues is a must.

ESSENTIAL DUTIES AND RESPONSIBILITIES

include the following:

  • Administers the policies and procedures related to the areas of admissions and records.
  • Develops strategic goals and objectives which support recruitment and admissions, promotes enrollment growth, and student success.
  • Plans, coordinates, and supervises the recruitment, admissions, records, and registration procedures in accordance with state, federal, and institutional regulations.
  • Maintains admissions and records of noncredit enrollment and course records in accordance with state, federal, and institutional regulations, and ensures the security and confidentiality of the records.
  • Coordinates, develops, and implements registration procedures in consultation with the Admissions and Registration Committees.
  • Notifies students of admission and academic eligibility, and reviews exceptional admission cases.
  • Plans, coordinates, and implements TSI tracking procedures in accordance with state and institutional regulations.
  • Oversees the evaluation and posting of transfer credits.
  • Utilizes technology and information systems to effectively administer admissions and policy procedures, which will efficiently serve students and faculty.
  • Participates in the strategic planning of upgrades of the student information system as it relates to records.
  • Works closely with instructional deans to confirm student degree completion.
  • Plans, organizes, and manages the annual commencement ceremony.
  • Supports collaborative initiatives for recruitment and retention by serving on the Marketing and Communications, and Recruitment and Retention Committees.
  • Oversees and ensures the accuracy of required data necessary for submission of state, federal and local reports.
  • Develops the various institutional forms and brochures utilized in the department.
  • Works in collaboration with the Office of Institutional Research and Reports in communication of the class schedule project and portions of the college catalog.
  • Oversees the website design for recruitment, admissions and records webpages.
  • Works collaboratively with the center Deans and Directors to ensure the Student Support Specialists are receive ongoing training and professional development related to admissions and records, financial aid, and student business services responsibilities.
  • Serves as the institution’s Residency Officer concerning student residency inquiries and reclassification requests.
  • Works and interacts with senior level administrators and other internal and external constituencies.
  • Serves on the Administrative, Academic, and Student Affairs Councils. Chairs the Admissions and Registration Committees.
  • Serves on various college committees and fulfills other individual assignments as assigned. Represents the college on external committees.
  • Develops a budget adhering to establish guidelines and parameters and administers the budget as approved. Oversees the budget development for financial aid, advising and testing, and institutional research and reports.
  • Revises and refines departmental job descriptions. Collaborates with areas of responsibility to ensure job descriptions are maintained.
  • Promotes professional development for the enrollment services departments.
  • Attends and participates in local, state and regional meetings relevant to the field as available.
  • Serves within related professional associations when workload and opportunities permits.
SUPERVISORY RESPONSIBILITIES

Supervises the Admissions and Records Department’s professional and classified staff, the director of financial aid, director of advising and testing, and director of institutional research and reports.

EDUCATION AND /OR EXPERIENCE
  • Bachelor’s degree required from an accredited institution of higher education. Master’s degree or higher preferred.
  • Five years directly related successful experience in enrollment services area, such as records or admissions’ office in an accredited post-secondary institution.
  • Experience/knowledge of immigration rules and regulations.
  • Prior experience in planning and supervising personnel.
  • Prior experience/knowledge with software as it pertains to enrollment services.
  • Knowledge of Ellucian Colleague software preferred.
REQUIRED KNOWLEDGE SKILLS
  • Ability to effectively communicate both in writing and in public speaking.
  • Ability to make sound decisions in a timely manner.
