Role Description

This is a part-time, remote, contract role for a Deal Flow & Relationship Systems Assistant. We’re looking for a systems builder — not a task-taker — to own and evolve how we manage relationships, opportunities, and deal flow across the company. This is a part-time contractor role supporting our founder directly. You’ll be trusted with high-visibility relationships and expected to design smart workflows and tools that ensure no opportunity is lost or misrouted.

What you'll Build and Manage

  • Design and own our deal flow tracking system across Notion, HubSpot, LinkedIn, Slack, and Microsoft tools
  • Start with what’s there and build something better — with founder input, but not micromanagement
  • Ensure leads and opportunities are tracked, described, routed, and followed up on correctly
  • Create intuitive workflows to reduce manual errors and increase founder bandwidth
  • Centralize and systematize relationship management
  • Map internal, external, and cross-over (personal-professional) relationships
  • Log and track follow-ups, notes, referrals, and historical touch points
  • Propose automations or tech that improve visibility and retention across email, Slack, and LinkedIn
  • Own research and discovery around new relationships and opportunities
  • Before and after conferences, dig into who we should know and why
  • Prep briefs, propose intros, and document contact context
  • Help the founder stay ahead of key relationships without needing reminders

What you Bring

  • A builder’s mindset — you don't just maintain systems, you design better ones
  • Demonstrated fluency in modern tools: Notion, HubSpot, Slack, LinkedIn, Microsoft 365, Google Sheets, AI assistants like ChatGPT or Notion AI
  • Sharp attention to detail and confidence managing high-stakes external communications
  • Comfort with ambiguity — you ask smart questions and propose paths forward
  • Genuine curiosity about people and partnerships, and a drive to connect dots others miss
  • Strong Analytical Skills and Information Analysis capabilities
  • Experience in Technical Support and Information Technology
  • Excellent Communication and Customer Service skills
  • Ability to work independently and manage time effectively

Additional Qualifications (but not required)

  • Experience supporting founders or execs in early-stage environments
  • Familiarity with B2B SaaS, human capital, defense, or edtech sectors
  • Previous ownership of CRM/data infrastructure or internal tooling
