Job summary

PM Pediatric Care is seeking a Front Desk Associate to warmly engage with families and provide a First-class Experience in our NY offices. The role requires organization, multitasking, and HIPAA compliance while supporting the medical team and patient care workflows.

Shifts run 7:00 AM–7:00 PM or 7:00 AM–3:00 PM with rotating weekends and some holidays. Location splits between Bellerose and Forest Hills, NY, offering a dynamic front desk role in a healthcare setting.

Qualifications

  • High school diploma or GED.
  • Experience in a healthcare environment and knowledge of medical insurance preferred.
  • Ability to work flexible schedules; may require travel to another site.
  • Strong verbal and written communication skills.
  • Excellent customer service and telephone skills.
  • Professional and friendly demeanor.

Responsibilities

  • Greets families professionally both in person and on the phone.
  • Answers patient/family questions to the best of your ability and seeks clarification when needed.
  • Provides empathy and active listening in difficult situations.
  • Supports patient care quality initiatives as directed.
  • Coordinates escalations and urgent issues for timely resolution.
  • Maintains HIPAA compliance and protects patient confidentiality.
  • Manages patient flow and assists with self-registration.
  • Registers patients and maintains accurate demographic and insurance data.

Summary

The Front Desk Associate role is an opportunity for the right candidate to apply his or her professional and personal skills by engaging with families to provide a welcoming, First-class Experience. In addition to being organized and able to multi-task, this role requires a responsible dynamic individual to carry out all front desk functions and manage administrative tasks for the medical team aligning with the mission, vision, values, and culture of PM.

Description

Schedule: This role requires flexibility, with shifts of either 7:00 AM to 7:00 PM or 7:00 AM to 3:00 PM, and may vary between the two. Rotating weekends and some holidays are required.

Location: This position splits time between our Bellerose, NY and Forest Hills, NY offices.

  • Collaborates and communicates with site leadership to facilitate management of complex patient issues
  • EmploysPM Pediatric Care's Core valuestohelp patients, families, and other team members navigatePM systems before, during, and after a visit
  • Monitors and manages patient flow throughout the waiting and registration process including assisting families with initiating the self-registration process
  • Is in alignment with all distributed education to keep current on workflows, responsibilities, and technology
  • Registers all patients and maintains accurate and complete patient accounts by obtaining, recording, and updating demographics, insurance, and financial informationwhile maintaining HIPAA compliance
  • Manages and acts upon all incoming patient documents, mail and correspondence utilizing proper documentation and storage
  • Maintains confidentiality and privacy of all patient accounts and adheres to all HIPAA guidelines
  • Performs opening and closing duties including but not limited to organizing, stocking, sanitizing, and reconciling
  • Executes other duties as assigned

Qualifications
  • Team player that can function independently in a fast-paced environment
  • Intermediate skills with Microsoft Office Suite.
  • Ability to work flexible work schedules based on office needs. At times, it may require travel to another site within reason
  • Excellent customer service and telephone skills
  • Strong verbal and written communication skills
  • Professional and friendly demeanor
  • Quality focused and detail oriented
  • Ability to calculate simple figures such as adding up receipts, counting cash drawers or subtracting to give change.
  • Outstanding time management, organizational, and critical thinking skills
  • Superior situational awareness and ability to successfully react to urgent situations
  • Prior experience in a healthcare environment and knowledge of medical insurance preferred
  • Socially perceptive and ability to relate to children and how they interact with their families
  • Comfortability with routinely shifting demands
  • Navigate multiple computer systems
  • Prior Front Desk, concierge, customer service or other hospitality experience preferred.
  • High school diploma or GED
Compensation:

$18 - $25/hour

The salary/rate range listed here has been provided to comply with local regulations and represents a potential base salary/rate for this role. Please note that actual salaries/rates may vary within this range above or below, depending on experience and location. We look at compensation for each individual and based on experience and qualifications.
