Position Summary
We are looking for a highly organized, computer-savvy professional to support the administrative and operational needs of our medical practice.
This position is a combination of data reporting, systems support, light project coordination, and general administrative assistance. The ideal candidate enjoys working with data, improving processes, keeping information organized, and helping others use technology more effectively.
This role may be structured as either a full-time or part-time position, depending on the candidate’s experience and availability. Most work can be completed remotely, although in-office availability will be required a few days per month.
Key Responsibilities
Data Reporting and Dashboards
- Pull data from multiple business and practice systems.
- Combine, organize, validate, and analyze data for recurring and ad hoc reports.
- Create and maintain reports using advanced Microsoft Excel functions.
- Develop and maintain operational dashboards in Excel, Power BI, or a similar reporting platform.
- Identify inconsistencies or missing information and work with the appropriate team members to resolve them.
- Help improve the accuracy, consistency, and presentation of operational data.
Systems and Database Support
- Maintain employee and HR-related information in existing database (Kintone).
- Update records, forms, workflows, and reports within Kintone as needed.
- Help ensure that information stored in administrative systems is accurate and current.
- Create, update, and modify electronic forms using Adobe Acrobat, including fillable PDF forms.
- Support the effective use of Microsoft 365 applications, including Excel, Word, Outlook, Teams, OneDrive, and SharePoint.
- Assist with organizing shared files, folders, templates, and administrative resources.
Project and Operational Support
- Provide light project management support for administrative and practice initiatives.
- Maintain project lists, deadlines, status updates, and follow-up items.
- Help keep projects and operational priorities organized and moving forward.
- Create meeting materials, trackers, templates, and other tools to support practice operations.
- Document processes and develop basic procedures or reference guides.
- Assist with administrative projects and other duties related to practice operations.
- Serve as a resource for routine computer and software questions within the administrative office.
- Assist staff with basic questions related to Microsoft 365, Adobe, shared files, spreadsheets, and other office technology.
- Help troubleshoot routine issues and coordinate with outside IT support when a problem requires technical escalation.
- Provide patient and practical assistance to team members who may be less comfortable using technology.
Qualifications
- Strong overall computer skills and the ability to learn new systems quickly.
- Advanced Microsoft Excel skills, including experience with functions, formulas, pivot tables, lookups, charts, data validation, and data organization.
- Experience pulling information from multiple systems and creating accurate, easy-to-understand reports.
- Experience creating or modifying forms using Adobe Acrobat.
- Working knowledge of Microsoft 365 in a business environment.
- Experience developing or maintaining dashboards.
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities and follow through on assignments.
- Strong written and verbal communication skills.
- Ability to work independently in a primarily remote environment.
- Comfortable assisting colleagues with routine computer and software queries.
- Ability to handle confidential business and employee information appropriately.
Preferred Qualifications
- Experience with Power BI or another business intelligence or dashboard platform.
- Experience with Kintone or a similar database or workflow management system.
- Experience working in a physician practice, healthcare organization, or other medical setting.
- Familiarity with healthcare administrative or practice management systems.
- Experience supporting projects, process improvement initiatives, or operational reporting.
Healthcare experience is helpful but not required. We are most interested in finding someone who is dependable, organized, technically capable, and comfortable working across a variety of administrative and operational responsibilities.

This position is approximately 80% remote. The employee must have a reliable internet connection and an appropriate workspace for handling confidential information. In-office work at our Jamestown, OH location will be required a few days per month for training, team collaboration, and projects.
The specific schedule and number of hours may be structured around the needs of the practice and the qualifications of the selected candidate.
Compensation
$25-$35 per hour, depending on experience, technical skills, and schedule. This position may be structured as either full-time or part-time. Candidates with significant Power BI, data analytics, or dashboard-development experience may be considered at a higher rate
