Job summary

AKG of America is seeking a dedicated Customer Service Coordinator to join our corporate office. You will receive requests for quotations and orders, issue price quotes, and relay information to customers while coordinating with internal departments to ensure timely deliveries.

The role requires an associate degree or equivalent experience, strong communication skills, and the ability to manage multiple tasks with precision.

Qualifications

  • Two year associate degree or three years prior work experience as a Customer Service Coordinator
  • Strong communication and problem-solving skills
  • Familiarity with computerized order processing and invoicing processes

Responsibilities

  • Receive quotations, orders, and lead times from customers and prepare quotations
  • Maintain customer rapport and provide excellent service
  • Coordinate with departments on purchase orders and deliveries

What You’ll Do

Receives requests for quotations, orders, and lead times from customers. Makes quotations on standard items, writes orders, and relays pertinent order information to customers. Monitors accounts receivable for AKGTS, and coordinates communication with overdue customers. Coordinates with other departments in handling purchase orders and providing service to customers.

Essential Functions
  • Receive requests for price quotations, purchase orders, order changes, adjustments, and cancellations directly from the customers. Maintain rapport with customers and work to give them the best possible service.
  • Use a computer to retrieve customer information, stock status information, the status of purchase orders, and to make changes on customer purchase orders.
  • Follow up on inquiries by checking computer for delivery information. Work closely with Expeditor in production control regarding deliveries of scheduled shipments.
  • Handle the needs of engineers and customers.
  • Make price quotations immediately by fax on price.
  • Check with credit department concerning credit status of customer when rush orders are received.
  • Contact distributors or check computer printouts sent to us by customers to locate requested items in order to meet customer's delivery requirements. Relay this information to the customer.
  • Resolve customer issues and complaints concerning billing
  • Identifies issues attributing to account delinquency
  • Submit regular reports on the status of unpaid accounts
  • Maintain files of active orders and post activity such as change notices, scheduling changes, partial shipments, and credit changes.
  • Prepare paperwork (original purchase order, copies of invoice, and return goods memo) to be given to Accounting department for credit or debit to be issued.
  • Adhere to all policies, procedures, and/or requirements set forth in AKG of America’s environmental management system (EMS).
  • Regular physical attendance is a requirement for this position. Refer to AKG attendance policy in the Information Handbook for Employees.

What We’re Looking For
  • Two (2) year associate degree OR Three (3) years prior work experience as a Customer Service Coordinator Representative OR
Knowledge, Skills And Abilities
  • Ability to use various computer programs.
  • Must have great attention to detail.
  • Strong verbal and written communication skills
  • Strong time management skills
Physical Demands
  • Must be able to sit (70%), stand (20%) and walk (10%) of the time.
  • Must be able to lift up to 20lbs (5%) of the time.
