Job summary

Bodycote in Andover, MA is seeking a Customer Service Representative to handle order entry, invoicing, and shipping coordination with limited supervision. You will support sales and respond to customer inquiries while managing incoming quotes to ensure smooth information flow.

The role requires at least 1 year in customer service, proficiency in Excel/Outlook, and ITAR compliance. The position is safety-sensitive and entails 40+ hours weekly, M-F, 7:30am–4pm.

Qualifications

• ITAR compliance: US citizens or permanent residents only.
• High school diploma or equivalent.
• Minimum 1 year experience in customer service.
• Strong proficiency in Microsoft Excel and Outlook.
• Experience with Navision, Salesforce and SAP is a plus.
• Experience with customer portals (Ariba, IOL Online, etc) is a plus.
• Good understanding of basic math.
• Ability to read, write and communicate in English.

Responsibilities

• Enter customer orders in the system with accurate data.
• Review Purchase Orders and contracts; follow up for discrepancies.
• Manage order follow-up and status updates.
• Assist with daily invoicing and sending invoices to customers.
• Prepare job packages and scan completed packages.
• Coordinate quotes with account managers to keep information current.
• Assist with scheduling as needed and with customer collections.

Candidates must pass a pre-employment drug screen and basic physical; have the ability to work full-time, 40+ hours per week. The hours for this position are M-F 7:30am - 4pm.

Summary:

Based in Andover, MA, the Customer Service Representative works with limited supervision and reports to the General Manager. They are responsible for order entry, follow-up, status, invoicing, shipping coordination and other daily communication with customers in coordination with sales and other staff. In addition, they will manage incoming quote requests to ensure consistent information flow.

Essential Job Functions (Duties and Responsibilities):

The primary duties consist of, but are not limited to the following.

• Enters customer orders in computer, assuring information is accurate
• Reviews Purchase Orders and contracts with discrepancies and follows up with clarifications via phone, email or other communication
• Responsible for customer order follow-up and status
• Responsible for helping with daily invoicing and sending invoices to customers
• Preparation of job packages and scanning of completed packages
• Work with account managers to ensure quotes are current and up to date
• Assists with scheduling as needed/required
• Assists with customer collections and Elevates as Needed
• Promotes and practices safety and good housekeeping
• Performs other tasks as assigned or dictated by position
• May have access to proprietary and third party information necessary to the business and as such will perform duties in an ethical and professional manner.
• This position is responsible for the care and treatment of our customer's inventory and as such will perform duties in a safe and responsible manner to prevent customer loss or damage.
• Must have the ability to report for work on time, follow directions, interact effectively with co-workers, understand and follow rules and procedures and accept constructive criticism

• This position must satisfy ITAR compliance requirements, therefore candidates must be U.S. Citizens or Permanent Resident Card Holder.
• Education - High school diploma or equivalent
• Minimum one year experience in customer service or related position

• Experience with Navision, SalesForce and SAP software a plus

Pay & Benefits Information

The hourly pay range for this position is $26 - $32 per hour. Starting pay is determined based on experience, skills, and qualifications. This position is classified as non-exempt and is eligible for overtime pay in accordance with state and federal law.

This role is not eligible for additional compensation, including shift differential.
