Responsibilities

  • Receive and process customer orders and messages.

  • Print, edit, and reconcile orders for accuracy.
  • Obtain certificates of analysis and technical data sheets; distribute via email or fax.
  • Complete price request forms and forward to the appropriate personnel.
  • Check product availability and update customers on status.
  • Coordinate and schedule customer warehouse pickups with outside warehouses, customers, and salespeople.
  • Generate reports on open orders, bookings, late shipments, and backorders; update weekly/monthly service-level reports.
  • Perform daily billing and issue debits and credits.
  • Maintain customer price files.

Job description

Location: Calhoun, GA
Reports To: Operations Manager

Position Summary

The Customer Service Officer is responsible for direct communication with Stahl USA customers and the internal Stahl team. This role ensures accurate processing of customer orders, coordination of shipments and pickups, and preparation of invoicing. The incumbent will perform a variety of tasks with minimal supervision and interact regularly with outside warehouses, customers, and sales representatives.

Key Responsibilities

  • Receive and process customer orders, messages, and price requests.
  • Enter all customer orders into the system accurately.
  • Print, edit, and reconcile orders to ensure accuracy.
  • Obtain certificates of analysis and technical data sheets; distribute via email or fax.
  • Complete price request forms and forward to appropriate personnel.
  • Check product availability and keep customers informed of status.
  • Follow up on orders with shipping and customers.
  • Handle customer inquiries and complaints; submit complaint forms as needed.
  • Generate reports including open orders, bookings, late shipments, and backorders.
  • Update weekly, monthly, and service-level reports.
  • Perform daily billing and issue debits and credits.
  • Maintain customer price files.
  • Coordinate and schedule customer warehouse pickups with outside warehouses, customers, and salespeople.
