Customer Service Coordinator - Service Writer

Position Summary

A Penske Customer Service Coordinator for our Portland branch is focused on working with customers to schedule preventative maintenance requests, coordinate outside repairs, and plan and manage the shop work plan.

Major Responsibilities
  1. Develop daily and weekly workforce plans considering customer needs, estimated unscheduled repairs, available parts, technician skills, and work hours to maximize customer service and productivity.
  2. Communicate with customers regarding maintenance updates, schedule or work changes, billing concerns, or service issues.
  3. Ensure all Penske Rental units are maintained and ready for customers.
  4. Ensure parts availability for scheduled work.
  5. Hold vendors accountable for quality and schedule adherence for outside work.
  6. Provide excellent customer service to ensure customer satisfaction and repeat business.
  7. Maintain shop productivity by optimizing the work plan.
  8. Coordinate with district billing clerks as needed.
  9. Perform other projects and tasks as assigned by supervisor.
Qualifications
  • Minimum 2 years of customer service experience.
  • At least 1 year of hands-on mechanical experience.
  • Preferred: 2 years of supervisory experience.
  • Preferred: 2 years of service department administration experience.
  • High School diploma or equivalent required; Associate's Degree, Technical School Degree, or Bachelor's Degree preferred.
  • ASE certification preferred.
  • Experience with service scheduling and diagnostic programs preferred.
  • Ability to understand and follow instructions, guidelines, and safety policies.
  • Must adhere to DOT, OSHA, and Penske safety policies, including proper use of tools and PPE.
  • Regular, predictable attendance is essential.
  • Willingness to travel, work the required schedule, complete background checks, and drug screening is required.
Physical Requirements
  • Frequent movement, standing, walking, climbing, bending, and sitting.
  • Use of hands for handling tools and controls.
  • Ability to work safely at heights and in all weather conditions.
  • Good vision and hearing to navigate the work environment.
  • Ability to lift up to 50 lbs regularly and up to 100 lbs occasionally.
Compensation

Salary: $27.50/hr
