Job summary

Leica Biosystems is seeking a Customer Operations Specialist in Deer Park, IL to manage order-to-invoice, coordinate with customers and teams, and handle credit notes and returns. You will resolve routine inquiries with attention to quality and regulatory requirements.

Requirements include 13+ years in customer care, a high school diploma (associate or bachelor’s preferred), SAP/ERP experience, and strong English skills; other languages are a plus.

Qualifications

• 13+ years of experience in customer care or customer-facing role.
• High school diploma required; Associate or Bachelor's degree preferred.
• Hands-on experience with SAP or another ERP for order management and invoicing.
• Experience with DBS tools such as PSP, Kaizen and Standard Work.
• English proficiency; additional languages a plus.

Responsibilities

• Order-to-Invoice execution with accurate processing and coordination.
• Coordinate with customers, Logistics and internal stakeholders.
• Handle credit notes and returns with accurate record-keeping.
• Investigate routine customer inquiries and ensure regulatory compliance.

In this role, you will have the opportunity to:

Order-to-Invoice Execution, responsible for the accurate processing and coordination of routine order-to-invoice activities, including consumables and instrument orders, invoicing, rental documentation, and order follow-up to ensure timely fulfilment, billing accuracy, and compliance with established procedures.

Customer and Cross-Functional Coordination, act as a key operational link between customers, Logistics, and internal stakeholders, ensuring effective communication, issue resolution, and timely escalation of customer and order-related matters.

Credit Note and Returns Administration Support asset management, credit note processing, invoice corrections, and returns administration while maintaining accurate, complete, and traceable records.

Customer Issue Resolution and Compliance, investigate routine customer enquiries, complaints, and disputes, resolving issues within established guidelines while ensuring compliance with quality, regulatory, and documentation requirements.

The essential requirements of the job include:

• Multiple years of positive work experience (13+) preferably in customer care or customer facing role.
• High school diploma required; Associate or Bachelors degree preferred.
• Hands-on experience with SAP or another ERP for order management and invoicing, is a plus
• Experience with DBS tools, including PSP, Kaizen, and Standard Work, is a plus.
• Proficiency in English, additional languages is a plus

Travel, Motor Vehicle Record & Physical/Environment Requirements:

Ability to work an on-site, flexible shift schedule in Deer Park, IL.

• Travel: up to 5% for training or team meetings.

It would be a plus if you also possess previous experience in:

• Experience in Life Sciences, Medical Devices, or Diagnostics industry with understanding of regulatory requirements
• Previous exposure to Danaher Business System (DBS) tools and continuous improvement methodologies

The annual salary range OR the hourly range for this role is $50 - $60k.

This job is also eligible for bonus/incentive pay.
