Job summary

Vibrantz Technologies Inc. is seeking a Customer Account Specialist in Quincy, IL to manage orders from entry through delivery and serve as the primary contact for assigned accounts.

Qualifications

  • Ability to work independently and across functions, solve problems, and meet deadlines.

Responsibilities

  • Manage customer orders through the ERP system with accurate pricing, quantities, shipping instructions, and delivery requirements.
  • Serve as the primary contact for assigned accounts, providing timely order and delivery updates and building relationships.
  • Coordinate with Sales, Production, Planning, Supply Chain, Shipping, Logistics, and Finance to support order fulfillment.
  • Investigate and resolve issues with orders, shipments, invoices, returns, and credits as needed.
  • Maintain accurate customer and order records, track performance, and identify opportunities to improve service processes.

Role Overview

The Customer Account Specialist manages assigned customer accounts and the full order lifecycle, from order entry through delivery. This role serves as a primary customer contact, ensuring orders, account information, and delivery requirements are managed accurately and communicated effectively. The position partners across commercial, manufacturing, supply chain, logistics, and finance functions to resolve issues, support timely fulfillment, and deliver a consistent customer experience.

Key Responsibilities
  • Manage customer orders through the ERP system, ensuring accurate entry of pricing, quantities, shipping instructions, delivery requirements, and supporting documentation.
  • Serve as the primary contact for assigned accounts, providing timely order, product availability, shipment, and delivery updates while building strong customer relationships.
  • Coordinate with Sales, Production, Planning, Supply Chain, Shipping, Logistics, and Finance to support order fulfillment and address customer requirements.
  • Investigate and resolve issues involving orders, shipments, invoices, returns, product availability, and deliveries, including processing credits, return authorizations, and replacement orders as appropriate.
  • Maintain accurate customer and order records, track account activity and performance metrics, and identify opportunities to improve service processes and operational efficiency.
Required Qualifications
  • Minimum of 2–3 years of experience in customer service, customer account management, order management, logistics coordination, or a related role.
  • Experience using ERP systems for order processing and customer account management.
  • Strong Microsoft Office skills and ability to accurately follow and execute written procedures.
  • Strong customer service, communication, organizational, and time management skills.
  • Demonstrated ability to work independently, collaborate across functions, solve problems, take initiative, and meet deadlines.
Preferred Qualifications
  • Associate degree in Business Administration, Supply Chain, Customer Service, or a related field, or a relevant combination of education and experience.
  • Experience in a manufacturing, chemical, industrial, or distribution environment.
  • Experience with IFS, Qualtrax, or similar business systems.
