Job summary

Middlebury College in Vermont seeks an Operations and Events Coordinator to plan and coordinate CTLR programs and events in the Davis Library suite, boosting student engagement and supporting academic coaching. The role also collaborates with campus partners to develop and deliver event plans, budgets, and schedules.

The position is part-time (20 hours/week), with benefits eligibility and an hourly pay range of $20.52–$22.83.

Qualifications

  • Bachelor's degree or Associate's degree with two years experience.
  • Experience in event planning, program or project management, public relations, human resources, recruiting, or educational administration.
  • Strong organizational skills and attention to detail; ability to prioritize in a multi-project environment.
  • Ability to cultivate an hospitable, inclusive atmosphere in physical and virtual spaces.
  • Ability to collaborate across teams to plan, organize, coordinate and perform in varied situations.
  • Supervisory skills, including hiring/training students and scheduling work.
  • Proficiency in Microsoft Office Suite, Google applications, and Zoom; willingness to learn new technology as needed.

Responsibilities

  • Plan and coordinate CTLR events, including logistics, travel, catering, facilities, accessibility and risk management.
  • Work with CTLR staff to determine event objectives, content, schedule and budget.
  • Manage student staff schedules and visitor services; enforce space use policies.
  • Develop and manage a semester event lineup and planned events schedule.
  • Collaborate with Library staff to ensure a welcoming CTLR experience and orderly spaces.
  • Coordinate itineraries and travel arrangements for CTLR programs.
  • Promote diversity, equity, and inclusion in all programming and resources.

Job description


The Operations and Events Coordinator plans and coordinates the Center for Teaching, Learning and Research's programs and events in the Davis Library suite to increase student engagement and support academic coaching. The Coordinator will also work with other CTLR offices,including faculty professional development and fellowships, to support programming in the Davis Library suite.

This is a part-time (20 hours per week), benefits eligible, hourly position with a hiring range of $20.52 - $22.83 per hour.

Core Responsibilities:
  • Working closely with campus and Center partners, manages event plans through development/production and event day delivery, coordinating logistics and administration for events, guest travel, catering, facilities management, accessibility, risk management, expenditures, promotion, calendar and staff management, and problem troubleshooting and resolution.
  • Consults with Center staff to determine event objective, title, content, structure, timing, and budget; translates that information into an event plan to manage its development, production, and delivery.
  • With CTLR director and staff, manage schedule for student staff and peer tutors; ensures outstanding visitor services; explains and enforces space use policies.
  • Works in partnership with CCI team and stakeholders to develop line-up of events for each semester, including what programs and events may be needed, timing, and budget needs; establishes and manages a planned events schedule.
  • Works with internal staff and coordinates with Library staff to create a positive CTLR user experience, ensuring that the physical space in Davis Library is welcoming to all visitors (students, faculty, staff, and program participants), including facilitating and communicating information on Center services, managing common spaces within the Center; and assisting in maintaining the appearance/visual aesthetics and orderliness of all common areas.
  • Assists with coordination of itineraries and travel arrangements for CTLR programming.
  • Promotes and advances the Center’s diversity, equity, and inclusion efforts in all programming and resources.
  • Bachelor's degree or Associate's degree with two years experience.
  • Experience in one or more of the following fields: event planning, program or project management, public relations, human resources, recruiting, educational administration.
  • Strong organizational skills and attention to detail; able to anticipate and prioritize workload to meet deadlines in a multi-project environment; able to respond quickly to changes in schedule.
  • Ability to cultivate a hospitable, inclusive, and inviting atmosphere in the physical and virtual workspace.
  • Ability to work with others to plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved; able to anticipate problems and address them proactively demonstrating adaptable and flexibility.
  • Supervisory skills, including ability to hire and train students, organizing and prioritizing work, and scheduling work assignments.
  • Proficiency in Microsoft Office Suite, Google applications, and Zoom and ability to learn new technology as needed.
Physical Demands and Working Conditions:

Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. Occasional lifting and carrying of boxes, rearranging of tables and chairs in event areas.
