DescriptionClosing Date: October 7, 2026Position: Health Information Management TechnicianSalary: $24.03 - $29.27Reports To: Clinical DirectorLocation: Nespelem, WAThe Health Information Management Technician manages the electronic health record system and works closely with the clinical team to ensure it completeness in accordance with Washington Administrative codes (WAC). The HIM Technician will have a thorough understanding of how to apply Health Insurance Portability and Accountability Act (HIPAA) Privacy Rules and state and federal medical record requirements.ESSENTIAL FUNCTIONS:Reviews, verifies, and processes Mental Health and Chemical Dependency record requests.Manages security access to the electronic health record system. Activates and deactivates employees to their appropriate level of access allowable to maintain HIPAA requirements.Transmit scan and file paper documents into the electronic health record.Develops compliant note templates based on provider need and specialty.Ensures completeness, accuracy, reviews and analyzes the records for all appropriate documents that must be maintained in the file according to the Behavioral& Mental Health system.Reviews all documents for completeness for established clients, update demographic and alternative resource information and enters, verifies, and updates all alternate resource data necessary for accuracy.Maintains the records in strict confidence, adhering to Privacy Act guidelines; assures record information is only disclosed in conformance with applicable Federal laws and regulations.Assists with appointment scheduling and keeps all records in an accurate and organized manner and logs incoming documents/mail received and routes to appropriate staff in a timely manner following established referral and appointment processes. Assists other administrative staff with clerical tasks as directed.Completes work in a timely manner that contributes to the workflow of the office that meets deadlinesReceives and initiates referrals for Tribal Health, Mental Health and Chemical Dependency programs.Responds to requests in a discreet confidential manner that maintains HIPAA compliance at all times; responds to personal, telephone, or written inquiries of clients as HIPAA allows; screens callers and determines proper referral of callers using tact and diplomacy;Maintains EHR calendar of appointments and keeps accurate records of all work performed.Maintains, collects and compiles a complex data entry specialized program and maintains a large filling system for Tribal Health, Mental Health and Chemical Dependency programs and performs related work as required.Receives and records all incoming calls, inquires who is calling, refers to proper staff; takes messages if staff is not available and routes in a timely manner, makes calls as requested, records pertinent information and routes or files as necessary.Assists with patient registration. Follows set policies & procedures for collecting all required information from patient include accurate insurance information for billing purposes. Responsible for sending required information to Centralized Medical Billing office daily.Determines and initiates action to resolve problems with records, billings, payments, and/or charges.Performs other related duties as assigned that support the objective of the position.KNOWLEDGE, SKILLS, AND ABILITIES:High School Diploma, GED, or equivalent is required.Typically requires an Associate’s Degree from an accredited college in Health Information Management (must provide copy of transcript upon application).Three (3) years work experience in the medical field.One (1) year experience with electronic health records (EHR) required.Requires current credentials as a Registered Health Information Technician (RHIT).Requires National credentialing organization AHIMA AND required experience in designing medical record forms to meet all standards of practice and procedures required in information technology.Valid Washington State Driver’s License is required and be insurable. Must maintain throughout employment.Note: Pursuant to Tribal Policy, if this position is safety sensitive it is subject to pre-employment drug testing. In addition, this position is subject to reasonable suspicion and post-accident drug testing.TRIBAL MEMBER AND INDIAN PREFERENCE WILL APPLY; PREFERENCE WILL ALSO BE GIVEN TO HONORABLY DISCHARGED VETERANS WHO ARE MINIMALLY QUALIFIED.If required of this position, you must possess and maintain a valid Washington State driver’s license and be eligible for the Tribes’ Vehicle Insurance. In addition, this position may be subject to pre-employment background clearances.
