Job summary

The College of New Jersey in Ewing, NJ seeks a CRM System Administrator to manage The Raiser’s Edge/NXT database for alumni, students and donors. Reporting to Advancement Services, you will implement business rules, ensure data accuracy, and support integrations with external platforms.

This full-time role requires five years in higher education or nonprofit data management, strong Excel skills, and experience with reporting.

Qualifications

  • Bachelor’s degree in Business, Computer Science, or related field.
  • Minimum five years of experience in higher education or nonprofit settings managing databases and developing financial reports.
  • Strong IT skills with The Raiser's Edge NXT; certifications preferred.
  • Advanced Excel skills including macros, VLOOKUPs, pivot tables, and formulas.
  • Ability to maintain confidentiality with strong analytical, organizational, and time-management skills.

Responsibilities

  • Database Management and Data Integrity: maintain, adjust, and create business rules; data cleanup; ensure accuracy and integrity of records.
  • Reporting and Data Delivery: establish reporting needs with supervisors and staff; produce deliverables such as alumni contacts, event lists, gift summaries; respond to ad hoc requests.
  • Imports, Exports, and Integrations: perform data imports/exports; oversee system updates; provide expertise in external integrations.
  • Appeals, Events, and Mailings: manage appeal/event/setups; pull/update populations; prepare lists for mailings.
  • System Oversight and Security: implement streamlined processes; manage security rights; monitor database stability.
  • Collaboration and Other Duties: work with Director to assess data needs; perform ad-hoc responsibilities.
  • Participate in campus/community activities and weekly gift review; back-up to Gift Processor/Data Associate.

External Salary: Steps 1-4, $66,067.40 - $75,985.55 (for new hires). Internal Salary: Steps 1-13, $66,067.40 - $105,740.01 (for current NJ state employees with underlying classified status).

Position Overview

Reporting to the Director of Analytics and Data Administration in the office of Advancement Services, the College of New Jersey seeks a CRM System Administrator. This role primarily manages the constituent database (alumni, students, and donors) – The Raiser’s Edge/NXT – serving as the primary administrator for system updates and providing technical expertise for integrations with external platforms. The CRM Administrator oversees database operations, establishes business rules, and ensures data accuracy.

Responsibilities
  • Database Management and Data Integrity
    • Maintain, adjust, and create business rules
    • Perform data cleanup and quality control
    • Ensure accuracy, consistency, and integrity of records across The Raiser’s Edge/NXT
  • Reporting and Data Delivery
    • Establish reporting needs with supervisors, Advancement staff, and internal clients, and independently produce deliverables, including alumni contact information, event mailing lists, gift summaries, queries, and export files
    • Respond to ad hoc reporting requests
    • Recommend enhancements or new systems to best meet division needs
  • Imports, Exports, and Integrations
    • Prepare and execute data imports and exports (including GradAdv, GiveSmart, IOM profiles, and student/parent/staff data)
    • Oversee and document system updates
    • Provide expertise in integrations with external platforms
  • Appeals, Events, and Mailings
    • Manage appeal, event, and fund set‑up
    • Pull, update, and code associated populations
    • Prepare lists for semi‑annual magazine distribution, segmented appeals, and other mailings
  • System Oversight and Security
    • Recommend and implement streamlined processes and improvements
    • Manage system security rights under supervisor direction
    • Monitor and ensure database stability and effectiveness
  • Collaboration and Other Duties
    • Collaborate with the Director of Analytics and Data Administration to assess evolving data and reporting needs
    • Perform other duties as assigned, including ad‑hoc responsibilities outside scheduled projects and reporting cycles
  • Participate in campus and community activities, including volunteering at Advancement‑sponsored events such as Homecoming and Alumni Weekend
  • Weekly review of gifts entered into RE to ensure accuracy prior to the weekly general ledger post; serve as backup to Gift Processor/Data Associate during PTO, as needed
Required Qualifications
  • Bachelor’s degree from an accredited college in a related field such as Business, Computer Science, etc.
  • Minimum five years of experience in higher education or a non‑profit setting managing databases and developing financial reports
  • Intermediate understanding of IT – software implementation and integration, troubleshooting issues for 30+ RE database users; high proficiency with The Raiser’s Edge NXT, emphasizing database management and creative problem solving (certifications preferred)
  • Strong analytical, organizational, and time‑management skills with keen attention to detail and the ability to maintain confidentiality
  • Strong knowledge of Microsoft Excel with ability to create or learn macros, VLOOKUPs, pivot tables, formulas, etc.
  • Strong knowledge of FASB and CASE reporting standards; ability to create and format financial reports and interpret findings
  • Fluent in English; able to read, write, and communicate clearly; exercise sound judgment in correspondence
