Job summary

The Crewing Coordinator/Administrative Assistant will organize crew assignments, coordinate travel, maintain records, and facilitate clear communication between crew members and management to optimize operations. You will liaise with vendors, prepare reports, and ensure policies are followed.

Qualifications

  • High school diploma or equivalent required; associate’s degree or higher preferred.
  • Experience in administrative support or coordination roles
  • Strong organizational skills with the ability to manage multiple tasks and deadlines effectively
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with scheduling or database software
  • Excellent verbal and written communication skills.

Responsibilities

  • Coordinate and schedule crew assignments in alignment with operational needs and availability.
  • Assist with travel arrangements, including booking flights, accommodations, and transportation for crew members.
  • Serve as a liaison between crew members, management, and external vendors to facilitate clear communication.
  • Prepare and manage administrative documents such as reports, correspondence, and compliance paperwork.
  • Support the onboarding process for new crew members by organizing orientation materials and documentation.
  • Monitor and track crew attendance, leave requests, and timesheets to ensure accurate payroll processing.

About the Role

The Crewing Coordinator/Administrative Assistant plays a pivotal role in ensuring the seamless management and coordination of crew schedules and administrative operations within the organization. This position is responsible for organizing crew assignments, maintaining accurate records, and facilitating communication between crew members and management to optimize operational efficiency. The role requires meticulous attention to detail to handle documentation, travel arrangements, and compliance with company policies and regulatory requirements. By supporting both crewing logistics and administrative tasks, this position contributes directly to the smooth functioning of daily operations and overall workforce management. The successful candidate will act as a reliable point of contact, balancing multiple priorities to support the team and enhance organizational productivity.

Minimum Qualifications
