Job summary

AbelCine in New York City seeks a Production Services Coordinator to support our Production Services Department. You will manage talent pools, source and deploy personnel for multi-cam live events, installations, and internal projects, ensuring top-notch service for clients and crew.

Qualifications include a bachelor’s in Film Production or Media, 2+ years on-set production, and experience supporting labor staffing in entertainment.

Qualifications

• Undergraduate degree in Film Production or Media or equivalent experience.
• 2+ years of on-set production experience.
• 2+ years supporting labor staffing in an entertainment environment.
• Ability to multitask and work with complex payroll information.
• Exceptional verbal and written communication, plus negotiation skills.
• Proficiency in Microsoft Office; ability to learn proprietary software.
• Knowledge of union/non-union staffing and payroll practices.
• Strong leadership, organization, and teamwork abilities.
• Willingness to travel and adapt to changing priorities.

Responsibilities

• Lead admin for vendors, clients, and outside partners.
• Determine project roles with Production Services team based on client needs.
• Create and submit detailed labor estimates; negotiate rates within budget.
• Provide totals of labor costs and finalize show billing.
• Coordinate crew availability, confirmations, and staffing gaps.
• Onboard new talent into Salesforce and HRIS platforms with contracts and pay documents.
• Collect onboarding paperwork, safety certificates, and input into systems.
• Request POs for labor invoices and submit for payment; process travel and expense reports.
• Process timecards and create POs for crew; invoice Production Services clients.
• Book travel for Production Services personnel as needed.
