FRASER Yachts in Fort Lauderdale is seeking a dynamic Crew Coordinator Supervisor to oversee crew coordination for the fleet, ensuring qualified personnel and STCW95 compliance. You will lead the Crew Coordinators and work with the Yacht Management Team including the Captain, Yacht Services, Administrators, and Safety Superintendents.

In this role you will recruit and assign crew, manage contracts and certifications, coordinate payroll and travel, and ensure records are up to date.

Qualifications

  • Fluency in English is a requirement.
  • 3 years of experience in crew administration or coordination.
  • University education preferred, maritime knowledge helpful.

Responsibilities

  • Identify, interview, and recommend crew members for yachts.
  • Assist with background, reference, and drug/alcohol testing for crewmembers.
  • Provide each crew member with a Seafarer Employment Agreement (SEA) and ensure the correct professional certifications and a valid Fit for Duty certificate.
  • Ensure crew are enrolled in the crew medical plan and assist with insurance claims.
  • Assist with booking crew travel and transportation as needed.
  • Make wage calculations and coordinate payroll in cooperation with the Yacht Administrator or Equiom; handle social security and payroll taxes.
  • Maintain current crew lists and ensure yachts are manned according to the Safe Manning Document; track certificates and documents.
  • Monitor expiry of crew certificates and documents; ensure compliance.
  • Train and assist all Crew Coordinators and Assistant Crew Coordinators within the department; be part of the Emergency Response Team.
  • Travel as required to visit owners, captains, yachts, or attend industry events.

We are looking for a dynamic and proactiveCrew Coordinator Supervisorto join our expanding team inthe Fort Lauderdale office.

Position Overview

The Crew Coordinator Supervisor is the designated contact for any crew related matters for the yachts in the Fort Lauderdale office. The goal is to provide suitable qualified crew for the assigned vessels as required by the Company and in accordance with STCW95 requirements.

Work as a member of the Yacht Management Team, using Company procedures and best Yacht Management practices in close cooperation with the Captain, Manager Yacht Services, Yacht Administrators, Safety Superintendents and Technical Superintendents. The Crew Coordinator Supervisor is responsible for the Crew Coordinators and Assistant Crew Coordinators of the department.

Key Duties & Responsibilities
  • Identify, interview, and recommend crew members to the owner / captain, using where possible “The Crew Network”.
  • Assist when requested in performing background, reference, security checks and/or drug and alcohol testing on prospective crewmembers.
  • Provide each crew member with a contract of employment - Seafarer Employment Agreement (SEA). Ensure that each crewmember has the correct professional certifications and ensure all crew have a valid “Fit for Duty” certificate accepted by the yachts flag administration.
  • Ensure each crewmember is enrolled in the crew medical plan and assisting with the claim handling with crew medical / P&I with the insurance brokers.
  • Assist when requested with booking crew flights or other transportation.
  • Make wage calculations and arrange for payment of salaries (in cooperation with the dedicated Yacht Administrator or Equiom). Where applicable withhold, account for and process the payment of social security contributions and United States federal payroll taxes.
  • Receive and file current crew lists, check that the yacht is manned according to the Safe Manning Document, receive and file crew certificates, documents and passenger lists.
  • Monitor that the crew certificates and documents remain valid
  • Train and assist all Crew Coordinators and Assistant Crew Coordinators within the department
  • Be part of the Emergency Response Team

OTHER RESPONSIBILITIES:

  • Verify periodically the status of records in FLY (Fraser Linker Yachts) for the assigned yachts.
  • Assist when requested with securing appropriate health / Personal Accident insurance for crew members.
  • Identify and recommend crew safety weaknesses and assist master with training proposals (in liaise with the DPA).
  • Assist the Technical Superintendents and Yacht Administrators in providing logistical support.
  • Advise and assist the Master in obtaining endorsements and required crew certification.
  • Handling and forwarding of crew mail, when applicable
  • Assist when requested with any proposals for new business
  • Will undertake any additional tasks reasonably assigned by the Manager Yacht Services
  • Expected to travel at any time to visit an owner, his representative, a yacht or any other person connected to a yacht.
  • Work with the Technical Superintendents and Yacht Administrators on the induction of new Captain’s and new yachts into the fleet.

JOB ESSENTIAL FUNCTIONS:

  • Fluency in English is a requirement. The ability to speak a second language is a plus.
  • Computer literate; proficient with MS Word, Excel and Outlook.
  • Ability to communicate professionally and effectively with yacht management team, captains and crew.
  • Organized and disciplined, efficient in keeping strict control on date validity and deadlines in view of all crewing matters.
  • Maritime Labour Convention (MLC) knowledge is essential, general knowledge of maritime regulations and International safety management Codes are preferred.

Experience:

  • 3 years of experience in crew administration/ coordination, preferably in the yachting sector.

Qualifications:

  • University education is preferred, with a proven academic track record or equivalent job experience in the maritime field

WORK EXPERIENCE AND PHYSICAL ABILITIES:

  • Work is conducted most often indoors in an air conditioned, illuminated office environment and periodically outdoors inspecting boats, meeting with yacht captains, and crew aboard vessels, at ports, and on floating barges.
  • Local, national and international travel is occasionally required ranging from day to week-long trips. Ability and willingness to travel internationally to attend boat shows, visit yacht owners, captains and yachts and attend other yacht industry or company events as necessary.
  • Utilization of standard office equipment is used in the working environment.
  • Motor skills and senses needed to carry out duties include talking, listening, typing, writing, visual inspection of documents and spaces.

Physical Abilities:

  • Light lifting, pushing, walking, climbing ladders and stairs on boats and climbing into small spaces.
