Job summary

LV Aero, LLC is seeking a Crew Coordinator to optimize crew resources and aircraft utilization in accordance with FAA regulations. This role acts as the primary liaison between Fleet Management and crewmembers, coordinating trips, bookings, and crew legality while maintaining accurate crew activity records in FOS.

The successful candidate will manage schedule changes, ensure on-time availability, and monitor expirations for training and medical items to prevent operational disruptions.

Qualifications

  • Bachelor’s degree or equivalent work experience preferred.
  • 2-5 years of experience in a flight operations environment required.

Responsibilities

  • Communicate effectively as the liaison between Fleet Management and Crewmembers regarding crew activities.
  • Update crew activity in FOS and maintain the crew timeline with notes and travel details.
  • Coordinate trips, travel bookings, and verify trip legality and crew credentials.
  • Inform training and medical departments of expirations to prevent assignment issues.
  • Coordinate all logistics around crew swaps and work with contract crews as needed.

Job description

Summary

The Crew Coordinator is responsible for ensuring the most efficient and logical use of crew resources in conjunction with effective aircraft utilization. The Crew Coordinator follow crew scheduling guidelines and FAA regulations regarding aircraft qualification, crew rest, and flight time limitations. The goal of the Crew Coordinator is to ensure aircraft availability and safety by coordinating crew and aircraft schedules.

Duties & Responsibilities
  • Communicate effectively and efficiently as the primary liaison between the Fleet Management team and Crewmembers related to crew activities.
  • Maintain situational awareness of aircraft and crewmember scheduling needs.
  • Assign crewmembers to trips, purchase airline tickets, address open items, hire contractors, verify legality of trips and Crewmembers daily.
  • Update crew activity in FOS: assign appropriate crew to trips, maintain crew activity timeline and schedule with detailed and relevant notes, document all travel reservations and training events.
  • FOS2GP daily keeping crew service fees dashboard updated and accurate.
  • Alert training department when training and medical items are shown due and/or expired ensuring no crew member is assigned where currency/medical/etc. expirations will affect daily operations.
  • Communicate with crews regarding changes of schedules or duty expectations.
  • Coordinate all aspects of crew MDOF for 91 and 135 flying, working with Fleet Management to inform of associated costs and ensure changes to activities are updated correctly in FOS.
  • Ensure any "Crew Move Incentive" deals are documented in FOS and paperwork is completed and sent to Accounting, Crew, and other related parties.
  • Facilitate and coordinate all logistics around crew swaps on the road.
  • Find, schedule, and communicate with contract crew when needed, including 91 contract pool, Air Hostess, and per diem 135 contract pool.
  • Review monthly crewmember duty activity logs for accuracy; inform Manager of any discrepancies.
  • Regular and predictable on-site attendance.
  • Demonstrate Jet Linx’s core values and "Supply the High" in all interactions.
  • Performs other duties as assigned.
Knowledge, Skills & Abilities
  • Team player with the ability to work cross functionally with multiple departments simultaneously
  • Understanding of aircraft types, crew qualifications, and regulations preferred
  • Excellent verbal and written communication and interpersonal skills to effectively interact with all levels of the company and its customers
  • Understanding of FAR’s Part 135/91/61 relating to flight and duty time limitations
  • Ability to work in a fast-paced environment, with strong attention to detail, high level of accuracy, and organizational skills
  • Proficient in Microsoft Office Suite and FOS
  • Ability to multi-task and complete work within assigned timelines under minimal supervision
  • Self-motivated and willingness to take initiative to research and resolve problems
  • Operate office equipment as needed
Education and Work Experience
  • Bachelor’s degree or equivalent work experience preferred
  • 2-5 years of experience in a flight operations environment required
Physical Requirements
  • Majority of work is completed in a normal office work environment
  • Prolonged periods of sitting at a desk and working on a computer
  • Able to complete physical activities such as standing, sitting, walking, talking, and hearing to perform daily work functions
  • Must be able to move up to 25 pounds on an infrequent basis +
Documentation Requirements
  • Ability to obtain a U.S. driver's license
  • Proof of eligibility to work in the US
