Job summary

Rocs, Inc. is seeking a Credentialing & Program Coordinator to support day-to-day administration of credentialing and certificate programs, manage applications, testing, renewals and certifications, and assist members throughout the process.

This role emphasizes organization, process-driven work, customer service, and attention to detail, with opportunities to collaborate across teams while learning database management, program administration, and member services.

Qualifications

  • Bachelor's degree or high school diploma with equivalent education.
  • 2+ years in a professional business environment supporting programs, operations, administration, or customer service.
  • Association, nonprofit, membership, credentialing, or professional services experience is a plus.
  • Strong attention to detail and ability to accurately follow established policies, procedures, and requirements.
  • Excellent organizational and time-management skills with the ability to manage multiple deadlines and priorities.
  • Strong written and interpersonal communication skills with a customer-service mindset.
  • Resourceful problem-solving skills and ability to research and resolve routine issues.
  • Experience with databases, CRM systems, or other record-management platforms preferred.
  • Proficiency with Microsoft Office tools (Teams, SharePoint, Word, Excel, PowerPoint, Outlook).

Responsibilities

  • Support the day-to-day administration of professional credentialing and certificate programs.
  • Review applications against established eligibility requirements and process qualified applicants.
  • Assist with payment processing, refunds, renewals, reinstatements, and other program transactions.
  • Coordinate candidate information and testing-related processes with external vendors.
  • Process examination results and ensure candidates receive appropriate communications and notifications.
  • Maintain accurate credentialing, certificate, and member records within organizational databases.
  • Troubleshoot routine record and database issues and ensure information remains accurate and current.
  • Respond to member questions regarding applications, program requirements, renewals, recertification, and other routine program matters.
  • Prepare and maintain program materials including guides, FAQs, presentations, letters, forms, applications, and website content.
  • Assist with monthly renewal, maintenance, verification, and audit processes.
  • Follow established policies and procedures to ensure program requirements and deadlines are consistently met.
  • Provide administrative support for committee and working group meetings, including preparing agendas, materials, correspondence, and meeting minutes.
  • Assist with processing appeals and communicating final decisions according to established procedures.
  • Test new database functionality and assist with maintaining accurate program processes.
  • Provide backup support for membership and customer service operations as needed.
  • Communicate program updates to internal staff, members, volunteers, and other stakeholders.
  • Collaborate with internal departments and external partners to support effective program operations.
  • Perform additional program and administrative duties as assigned.

Requirements

  • 2+ years of experience in a professional business environment supporting programs, operations, administration, or customer service
  • Association, nonprofit, membership, credentialing, certification, or professional services experience is a plus
  • Strong attention to detail and ability to accurately follow established policies, procedures, and requirements
  • Excellent organizational and time-management skills with the ability to manage multiple deadlines and priorities
  • Strong written communication, editing, and proofreading skills
  • Excellent verbal and interpersonal communication skills with a customer-service mindset
  • Resourceful problem-solving skills and ability to research and resolve routine issues
  • Ability to work successfully both independently and collaboratively as part of a team
  • Experience working with databases, CRM systems, membership systems, or other record-management platforms preferred
  • Proficiency with Microsoft Office tools, including Teams, SharePoint, Word, Excel, PowerPoint, and Outlook
