Job summary

Gebhardt Development, Inc. seeks a Director of Commercial Real Estate Operations in Madison, WI. You will lead day-to-day operations across multiple properties, drive new development opportunities, and manage tenant relations and leasing activities.

Collaborating with the VPO and Owner, you will oversee capital improvements, CAM accounting, and compliance with city regulations while building strong relationships in the commercial real estate market. This is a full-time on-site role.

Responsibilities

• Collaborate with the VPO on municipal approvals and entitlements
• Identify and assess commercial property acquisitions
• Research development opportunities including land acquisitions and RFPs
• Coordinate with brokerage firms to attract and land tenants for new developments
• Facilitate lease negotiations with tenants in new developments
• Coordinate tenant buildouts for commercial spaces
• Oversee day-to-day operations of all commercial properties
• Ensure owner directives are followed and standards meet VPO expectations
• Attend weekly Gebhardt Development and Gebhardt Development/MPM meetings
• Enforce city ordinances, laws, and guidelines per policy
• Provide daily notes and updates to VPO, owner, and PA
• Oversee capital improvement bidding and asset lists
• Review service contracts and capital improvement contracts
• Review and approve receipts and invoices
• First point of contact for commercial tenant relations
• Negotiate commercial leases with VPO
• Shop the comps to inform lease negotiations and renewals
• Review leases and amendments for financial and legal needs
• Draft and execute leases and amendments with company attorneys
• Schedule quarterly meetings with tenants to gather feedback
• Respond promptly to tenant concerns and maintain a decision maker pipeline
• Develop relationships in the commercial real estate community for market intel
• Maintain lease abstracts with commencement dates, rents, escalators
• Review CAM charges for properties
• Oversee CAM invoices for Galaxie and Constellation with MPM
• Reconcile CAM invoices for listed properties
• Provide quarterly income/expense reports to Owners and Development team
• Represent membership in the Galaxie Master Condo Association and attend meetings
• Work with accounting to ensure timely invoices and documentation
• Track MCA directives and report to VPO for review
• Ensure building security standards
• Engage security vendors and hold them to contracts
• Address tenant security concerns and report to VPO and owner
• Coordinate schedules for adequate office coverage; on-site during hours
• Train, develop, supervise, and evaluate staff
• Oversee employees at commercial properties and coordinate with Maintenance Director
• Inspect properties and conduct daily priority setting meetings
• Enforce policy with HR Director and document disciplinary actions
• On-site and available during business hours
• Able to attend weekly and quarterly meetings
