Qualifications

Responsibilities

• Support Designer/CEO during couture and VIP client appointments by taking detailed notes on design direction and timelines.
• Prepare client info, samples, fabrics, embroideries for appointments.
• Maintain accurate client profiles, appointment notes, orders, and correspondence.
• Assist with client communication, appointment scheduling, and follow-up under Designer guidance.
• Coordinate with Sales Team on client info, samples, showroom prep, and follow-ups.
• Create and update client presentations and materials for couture clients.
• Assist with organizing couture and VIP events.
• Provide polished, confidential client experience at all times.
• Support Production Manager with coordinating orders from initial appointment to delivery.
• Track fittings, deadlines and notes; communicate with Designer and Production Manager.
• Follow up on open items and help resolve timing or production issues.

Reem Acra is a legendary luxury Bridal and RTW designer celebrated for her regal designs, which have been worn by royals and celebrities for more than 25 years. The collections are sold at luxury retailers around the world and are known for their craftsmanship, intricate details, and high level of quality.

THE ROLE

We are seeking a highly organized and polished Couture Client Coordinator to support the Designer/CEO with couture and VIP client appointments and assist with the coordination of client communication, production development, alteration fittings, sample inventory, and records. This position will report directly to the Designer/CEO while working closely with the Production Manager, Head of Operations, and Sales Team to ensure couture client information, samples, and orders are organized and accurately communicated throughout the process.

The ideal candidate is extremely detail-oriented, professional, and comfortable working with luxury clientele. This is a junior-level position for someone with a strong foundation in luxury Bridal or RTW who is eager to learn Reem Acra’s couture processes, construction techniques, and standards. This person should be highly organized, an excellent communicator, and comfortable managing detailed information while supporting multiple clients and priorities at the same time.

ROLE & RESPONSIBILITIES

Couture Client Support

• Assist the Designer/CEO during couture and VIP client appointments by taking detailed notes on design direction, client requests, measurements, and timelines.
• Prepare client information, samples, fabrics, embroideries, and other materials prior to appointments.
• Maintain accurate and organized client profiles, appointment notes, order information, and correspondence in the company system.
• Assist with couture client communication, appointment scheduling, and follow-up under the direction of the Designer.
• Support the Sales Team with client information, sample coordination, showroom preparation, and follow-up as needed.
• Create and update PowerPoint presentations and other materials for couture clients.
• Assist with the preparation and organization of special couture and VIP client events.
• Provide a polished, professional, and welcoming experience for all clients while maintaining appropriate discretion and confidentiality.
• Assist the Production Manager with coordinating couture client orders from the initial appointment through fittings and final delivery.
• Organize and communicate design details, client requests, fitting notes, and deadlines to help ensure accurate execution of each order.
• Assist during fittings and alteration appointments by dressing clients, taking detailed notes, and assisting with pinning as needed.
• Track upcoming fittings, order deadlines, and outstanding information and keep the Designer and Production Manager updated.
• Follow up on open items and assist with resolving timing, material, or production issues as needed.

Inventory & Organization

• Assist the Head of Operations with maintaining accurate inventory records for couture and VIP samples.
• Track sample style, status, location, and availability using detailed Excel spreadsheets.
• Prepare, organize, and track samples being used for client appointments, fittings, events, and Sales Team needs.
• Maintain organized digital and physical files for couture clients, samples, and related documentation.
• Regularly compare physical sample inventory against company records and assist with correcting discrepancies.

SKILLS & EXPERIENCE

• Minimum 1–2 years of experience in luxury Bridal, RTW, couture, product development, production, sales support, or a related fashion role.
• Degree in Fashion Design, Fashion Business, Production, or a related field preferred.
• Foundational understanding of luxury garment construction, alterations, and production techniques.
• Experience working with an atelier, sample makers, pattern makers, or production teams is preferred.
• Comfortable assisting during fittings and learning Reem Acra’s fitting, alteration, and couture processes.
• Extremely detail-oriented and organized with strong follow-through.
• Excellent written and verbal communication skills.
• Polished, professional, and comfortable interacting with luxury and VIP clientele.
• Strong customer service skills and the ability to handle confidential client information with discretion.
• Proficiency in Microsoft Excel, including maintaining detailed inventory and tracking spreadsheets.
• Proficiency in Microsoft PowerPoint and comfortable creating polished client presentations.
• Experience with A2000, Apparel Magic, or similar fashion ERP systems is a plus.
• Ability to take direction, learn quickly, and work collaboratively with the Designer, Production Manager, Head of Operations, Sales Team, and atelier.
• Comfortable working in a fast-paced environment where priorities and deadlines may change.
• A strong work ethic and a “can-do” attitude are essential.
