Ohio Department of Rehabilitation and Correction in Toledo is seeking a Records Management Specialist to review inmate records for compliance with sex offender registration and DNA testing requirements. You will manage inmate file integrity in OnBase and DOTS Portal and coordinate with other agencies on transports.

Qualifications

  • Strong written and verbal communication skills; able to respond to inquiries.

Responsibilities

  • Review inmate records to ensure compliance with sex offender registration laws and DNA testing requirements.
  • Operate LEADS, Offender Watch, and other law enforcement computer systems to handle confidential information.
  • Research LEADS for warrants and detainers; advise inmates of detainers and prepare related documentation.
  • Authorize inmate releases to temporary custody under TAD; manage court transport scheduling.
  • Maintain and update inmate records in OnBase; enter data into DOTS Portal and assign status codes.
  • Correspond with agencies; respond to inmate inquiries; participate in meetings and trainings.

Job description

  • Requires considerable knowledge of records management in order to review inmate records to ensure compliance with sex offender registration laws and DNA testing requirements
  • Operates law enforcement computer systems (e.g., law enforcement automated data system (LEADS) and Offender Watch and computer terminals to receive and transmit confidential information)
  • Research LEADS for pending warrants and detainers
  • Advises inmates of pending detainers and prepares necessary documentation for speedy trial when requested in accordance with Interstate Agreement on Detainers (TAD) and/or Ohio Revised Code
  • Authorizes release of inmates to temporary custody of local courts and out-of-state agencies under TAD
  • Utilizes Out to Court Management system
  • Serves as liaison between institution staff and law enforcement to schedule transports for court hearings
  • Maintains and updates inmate records by scanning information to OnBase document management system
  • Enters information into DOTS Portal as needed; enters appropriate status and reason codes into DOTS Portal
  • Maintains correspondence with other agencies and responds to inmate inquiries Completes other record office functions as assigned
  • Attends meetings, trainings and conferences
  • May give presentations and conduct training
  • Responds both verbally and in writing to questions and concerns

Formal education in arithmetic that includes addition, subtraction, multiplication, division, fractions, decimals & percentages & in reading, writing & speaking common English vocabulary; 1 course or 3 mos. exp. in records management (e.g., record retention, document management, confidentiality).

  • Or equivalent of Minimum Class Qualifications For Employment noted above.
