Position Overview:

CakeBoxx Technologies is seeking a skilled and experienced Corporate Operations Program Manager to manage and coordinate the daily activities that keep our commercial operations running smoothly. Reporting directly to the Chief Operating Officer (COO), this role is critical to ensuring operational discipline and performance across finance, business development, quote development, logistics, and administration.

The ideal candidate is detail-oriented, organized, and proficient in managing complex tasks across multiple teams. This position requires strong skills in task tracking, financial coordination (including Accounts Receivable/Accounts Payable), Excel-based reporting, quote process oversight, logistics coordination, and HR/training support. The selected candidate will be responsible for ensuring that key business processes run on time, are fully documented, and align with company standards and goals.

This is a senior-level operational role for someone who thrives on structure, follows through on every detail, and can lead and guide others to ensure tasks are executed correctly and efficiently—without needing constant direction.

Key Responsibilities:

Operational Oversight & Leadership

§ Serve as the primary coordination point for day-to-day corporate operations and task execution.

§ Ensure that all business functions (finance, quoting, BD, logistics, administration) deliver timely, complete, and accurate results aligned with COO directives.

§ Support ongoing monitoring of department performance and task completion across teams.

Financial Management & Reporting

§ Ensure AR/AP processes are tracked and completed on schedule.

§ Monitor accuracy of financial data, sales figures, and cost tracking.

§ Work with finance to maintain up-to-date reporting tools and flag discrepancies.

Quote Development Oversight

§ Oversee maintenance and accuracy of the quote log; ensure consistent updates and data entry.

§ Coordinate with quote leads to confirm pricing accuracy, template usage, and customer follow-ups.

§ Track status of open quotes and ensure proper handoff and accountability across teams.

Logistics & Project Coordination

§ Monitor transportation and logistics efforts for efficiency and timeliness.

§ Support issue resolution and coordination with manufacturing and delivery partners.

§ Ensure that the PMO is following through on responsibilities and project deliverables.

Process Improvement & Standardization

§ Lead process refinement efforts across commercial operations.

§ Create and maintain standard operating procedures (SOPs), trackers, and documentation tools.

§ Identify workflow gaps and implement solutions for improved efficiency.

HR, Training & Compliance Support

§ Provide training and manage training schedules, onboarding, and HR documentation.

§ Ensure that roles, responsibilities, and procedures are clearly documented and accessible.

§ Support internal compliance with quality and operational standards.

Qualifications & Experience:

Required Skillset

  • Operational Management: Strong ability to coordinate and track multiple workflows across finance, business development, logistics, quoting, and administrative functions.
  • Financial Acumen: Understanding of Accounts Receivable/Payable (AR/AP), cost analysis, and financial reconciliation to support accurate reporting and forecasting.
  • Excel Proficiency: Advanced skills in Microsoft Excel, including data management, formulas, pivot tables, and task tracking for operational and financial reporting.
  • Project Oversight: Ability to monitor program and project timelines, identify bottlenecks, escalate risks, and ensure deadlines and milestones are met.
  • Quote Process Understanding: Familiarity with quote creation, tracking, template management, and customer follow-up procedures.
  • Logistics Awareness: Basic understanding of transportation performance metrics, shipment tracking, and logistics coordination to support timely delivery execution.
  • Human Resources Support: Experience with training coordination, onboarding, document control, and maintaining up-to-date job descriptions and SOPs.
  • Process Documentation: Ability to write and maintain clear, standardized operational procedures and templates that support company-wide consistency.
  • Data Validation: Comfort in working with and auditing large volumes of operational and financial data to ensure accuracy before presenting to leadership.
  • Internal Communication: Clear, professional, and proactive communicator—comfortable summarizing progress, flagging delays, and reinforcing accountability across teams.

Required:

§ Bachelor’s degree in Business, Operations, Finance, or a related field

§ 3-5 years of experience in business operations, program management, or operational leadership

§ Proven ability to lead, track, and organize cross-functional projects

§ Strong background in AR/AP, quote tracking, logistics, and team coordination

§ Proficiency in Microsoft Excel and Office 365

§ Excellent communication and time management skills

§ Strong attention to detail and ability to manage multiple priorities

§ U.S. Citizenship (required)

§ Experience in manufacturing, logistics, or government contracting environments

§ Familiarity with CRM platforms and internal process auditing

§ Experience supporting HR/training and documentation control
