Job summary

AMPORTS Inc. in Jacksonville, FL is seeking a detail-oriented Document Control Specialist to manage the DMS and ensure accurate indexing, storage, and retrievability of documents across electronic and hard-copy formats.

You will oversee the full document lifecycle, ensure ISO compliance, process change requests, train staff, and maintain the Master Document List. Minimum 3–5 years in ISO environments; experience with eDMS platforms; Associate or Bachelor's degree preferred.

Responsibilities

  • Document Management System (DMS) Administration: Manage and maintain the electronic and hard-copy document control system, ensuring documents are accurately indexed, stored, and retrievable.
  • Document Lifecycle Control: Oversee creation, review, approval, distribution, revision, and archival/disposal of controlled documents.
  • ISO Compliance: Ensure document control processes meet ISO standards; participate in ISO audits as SME for document control.
  • Change Management: Process and track document change requests (DCRs), maintain revision history and audit trails.
  • Training and Support: Train employees on document control procedures and use of the DMS; act as primary contact for inquiries.
  • Master Document List: Maintain the Master Document List reflecting status and location of all controlled documents.

  • Document Lifecycle Control: Oversee the entire document lifecycle, including creation, review, approval, distribution, revision, and archival/disposal of controlled documents (e.g., policies, procedures, work instructions, forms, specifications) .
  • ISO Compliance: Ensure all document control processes adhere strictly to the requirements of the company's certified ISO standards. Participate in internal and external ISO audits as the subject matter expert for document control .
  • Change Management: Process and track all document change requests (DCRs), ensuring proper authorization and impact assessment before new revisions are released. Maintain a comprehensive revision history and audit trail.
  • Training and Support: Provide training to employees on document control procedures and the effective use of the DMS. Act as the primary point of contact for all document control inquiries.
  • Master Document List: Maintain the Master Document List (MDL) or equivalent register, ensuring it is current and reflects the status and location of all controlled documents.

Supervisory Responsibility
  • This position has no direct reports.
Work Environment
  • Well-lighted, heated and/or air-conditioned indoor office, production setting, outdoor/indoor shop environment or enclosed vehicle with adequate ventilation and protection from extreme weather conditions.
  • Outdoors exposed to changing and/or extreme weather conditions (for instance, rain, sun, snow, wind, humidity, etc.).
Physical Demands
  • Light physical activity performing non-strenuous daily activities of an administrative or production/technical nature. Manual dexterity sufficient to reach and handle items.
Position Type/Expected Hours of Work
  • This is a full-time position. Days and hours of work are primarily 8 hours each day, Monday through Friday on a day shift. This position often requires overtime.

Required Education And Experience
  • Minimum of 3-5 years of experience in a dedicated document control role in an ISO-certified environment.
  • Experience with eDMS platforms and compliance requirements.
Preferred Education And Experience
  • Associate or Bachelor\'s degree, preferred.
  • Knowledge of ISO standards and audit processes.
  • Experience supporting multi-site document control programs.
Computer Operations
  • Basic personal computer skills
Work Authorization/Security Clearance
  • Must be able to obtain TWIC badge (Transportation Working Identification Card)
