Williams Lea is hiring for a First Impression Associate for our Los Angeles office to work Monday to Friday, 7:00 am to 4:00 pm!

Pay: $25.65 - $27.00/hour

You will be the first point of contact for our guests and support the Director of Administrative Services.

  • Greet visitors and guests, direct them to appropriate staff.
  • Perform scheduling tasks: calendar coordination, A/V setup, conference room reservations, tele-conference services, catering, attendee packets.
  • Prepare correspondence, presentations, emails, and spreadsheets.
  • Maintain guest list and assist with building access cards.
  • Handle reimbursement requests and reconcile payments.
  • Reconcile monthly corporate credit accounts.
  • Respond to phone and electronic communications.
  • Perform administrative duties: word processing, photocopying, faxing, data entry.

Required Skills and Qualifications:

  • Minimum of two years of experience as an administrative assistant.
  • Proficient in Microsoft Office (Outlook, Excel, Word).
  • Strong organizational skills, ability to prioritize multiple tasks.
  • Excellent written and verbal communication, professional phone etiquette.
  • Interpersonal skills to interact effectively with internal and external partners.
  • Ability to coordinate projects independently.
  • Responsive to shifts in priorities and schedules.
  • Sound judgment and problem-solving skills, decision-making in supervisor’s absence.
