Job description

Lancaster Medical Practice is a large, complex General Practice Organisation led by a multi-disciplinary Partnership and Senior Leadership Team. The management and leadership of the Organisation require high-level administrative support to assist a busy and diverse team of leaders in achieving the organisation's objectives. Consequently, the pace of work and demands on the Office and the Senior Leadership Team are high.

The Managing Partner and her team are integral to the strategic and operational functions of the Organisation, working closely with the Partnership, internal teams, and external partners. Therefore, high-quality administrative support is essential for the smooth running of the Organisation and effective support for its leaders.

The post holder will provide dedicated personal and office management support to the Managing Partner and the Senior Leadership Team, ensuring their time is used efficiently to meet their objectives.

Main duties of the job
  1. Key Duties/Responsibilities
  2. Manage diaries for the Senior Leadership Team, ensuring effective prioritisation.
  3. Coordinate with the Rota Team to manage clinical diaries and Partner commitments, including scheduling on EMIS and Outlook.
  4. Provide professional secretarial services for meetings within the Corporate Governance structure and external meetings, including planning, agenda setting, paperwork coordination, and minute-taking.
  5. Handle correspondence such as emails and letters.
  6. Organise events, including venue arrangements, refreshments, attendance, speakers, and agendas.
  7. Note: There may be occasional evening and weekend work.

Job responsibilities

Salary: Due to recent pay review, the hourly rate is now £12.39.

Key Duties/Responsibilities

  • Manage diaries for the Senior Leadership Team, prioritising effectively.
  • Coordinate clinical diaries and commitments with the Rota Team, including scheduling on EMIS and Outlook.
  • Provide secretarial support for meetings, including planning, agenda setting, paperwork, and minute-taking.
  • Handle correspondence appropriately.
  • Organise events with arrangements for venues, refreshments, speakers, and agendas.
  • Note: Occasional evening and weekend work may be required.

Person Specification
Qualifications
  • GCSEs including English at grade C/4 or above.
  • Experience in document management, formatting, and presentation.
  • Experience with databases/spreadsheets.
  • Experience in NHS/Primary Care settings.
  • Proficiency in Microsoft Office suite.
  • Effective communication and interpersonal skills.
  • Ability to produce professional documentation.
  • Organisational skills and attention to detail.
  • Judgement, teamwork, resilience, confidentiality, and professionalism.
