Job summary

Paramount is seeking an organized individual to support Event Managers and the Executive Director of Operations. You’ll help with event preparation, on-site execution, and post-event administration, coordinating with vendors and internal teams.

An ideal candidate will be highly organized, capable of managing multiple events, and skilled in communication and logistics. The role offers on-site duties with opportunities for virtual engagement and growth within Paramount.

Qualifications

  • 2+ years’ experience in an administrative role.
  • Bachelor’s degree preferred.
  • Strong computer proficiency: Word, Outlook, Excel, PowerPoint, Accounting programs and CRM systems.
  • Detail oriented with strong multi-tasking abilities.

Responsibilities

  • Support and assist Event Managers and the Executive Director of Operations on event prep, execution and post administrative activities.
  • Manage guest lists and generate Gate Passes for site tours and day of events.
  • Liaise with accounting, finance, studio services and other departments as necessary.
  • Handle S.O’s, P.O.’s, COI’s and Vendor Lot Agreements; follow up on vendor payments.

Overview And Responsibilities

This position is responsible for supporting and assisting Event Managers and the Executive Director of Operations on event prep, execution and post administrative activities for both internal and external events. Candidate must be extremely organized and be able to manage logistics of multiple events and details simultaneously.

  • Team player with high level of dedication
  • Answer calls for Event Manager’s as needed or requested
  • Maintain a working relationship with all vendors, especially from preferred list
  • Understanding & anticipating the complex needs of different events and diverse clients/markets
  • Ability to assist with planning all event aspects, such as checking availability & securing venue, obtain quotes from florists, entertainment brokers, rental furniture, games/activities, etc.
  • Assist with requests for set‑up and rental orders as needed
  • Administers Pull Sheets
  • Ensures labor is assigned to the appropriate project numbers
  • Maintains Master Calendar and Event Manager Calendar
  • Liaises with, accounting, finance, studio services and other departments as necessary
  • Manage guest list and generate Gate Passes for site tours and day of event
  • Strong knowledge of venues and vendor offerings to promote with client while on site tour
  • Attentive to the value of staying under budget while planning event specifications.
  • Assisting with events on day of, including problem‑solving, welcoming guests, directing event set‑up, communicating with staff, organizing vendors and assisting with strike.
  • Possess strong communication skills, and the ability to present event ideas and plans to client and vendors.
  • Handles S.O’s, P.O.’s, COI’s and Vendor Lot Agreements
  • Follows up on Vendor payments
  • Handles all additional responsibilities as assigned including after‑hour and weekend events
Basic Qualifications
  • 2+ years’ experience in an administrative role
Additional Qualifications
  • Bachelor’s degree, preferred
  • Previous experience handling basic accounting, purchase orders
  • Basic event coordination training
  • Special Events background in coordinating, including vendor relations
  • Strong computer proficiency: Word, Outlook, Excel, Power Point, Accounting programs and Customer Management programs
  • Detail oriented, strong multi-tasking abilities
  • Good written and verbal communication skills in order to interact with company personnel and outside parties
Eligibility requirements
  • Must be willing to submit to a background investigation
  • Must have unrestricted work authorization to work in the United States

Additional Information

Hiring Salary Range: $52,000.00 - 60,000.00.

The hiring salary range for this position applies to New York City, California, Colorado, Washington state, and most other geographies. Starting pay for the successful applicant depends on a variety of job-related factors, including but not limited to geographic location, market demands, experience, training, and education. The benefits available for this position include medical, dental, vision, 401(k) plan, life insurance coverage, disability benefits, tuition assistance program and PTO or, if applicable, as otherwise dictated by the appropriate Collective Bargaining Agreement.
