Role Overview
The Sales Coordinator serves as the central engine for the residential sales department. Part proactive outbound hunter, part sales dispatcher, this role has one singular objective: keep the sales board full and maximize revenue opportunities for the Comfort Advisors (Sales Reps) by any means necessary. You will own the sales dispatch board, aggressively pursue aging pipeline opportunities, and drive outbound phone campaigns to generate qualified sales appointments daily.
What You Bring
- Proven Outbound Tenacity: Demonstrated success in outbound cold/warm calling, appointment setting, or inside sales; fearless on the phones and resilient against rejection.
- Dispatch & Scheduling Experience: Familiarity with trade-service CRM/dispatch logic (e.g., ServiceTitan, or similar platforms).
- Effective Written and Verbal Communication: Must be able to type and talk accurately. Strong verbal skills to revive stalled homeowner decisions and set firm appointments.
- Agility & Resourcefulness: Ability to multitask in a fast-paced environment and pivot outreach strategies dynamically based on weather, season, and board volume.
- Experience utilizing multi-channel messaging platforms (such as Hatch, Teams) and AI/call scoring tools (such as Avoka) is a strong plus.
- Experience in sales coordination, customer service, or administrative support
- Knowledge of sales processes and HVAC installation scheduling
- Strong verbal and written communication skills; ability to interact effectively with customers and team members
- Ability to manage multiple priorities, problem-solve, and meet deadlines in a fast-paced environment
- Detail-oriented with strong organizational and multitasking skills
Core Responsibilities
1. Proactive Outbound Prospecting & Lead Generation
- Execute daily high-volume outbound phone campaigns to generate qualified in-home sales appointments.
- Call out on aging, unsold estimates to overcome initial objections and secure return visits for Comfort Advisors.
- Mine service dispatch boards for high-repair quotes, non-turned service calls, and specific lead tags to flip into sales opportunities.
- Re-engage cold customer databases, aged quote archives, and seasonal maintenance lists through targeted calling, Hatch campaigns, and text outreach.
- Follow up on warm leads generated through digital channels, PowerPlay, and automated triggers immediately upon arrival.
2. Dynamic Sales Dispatching & Board Optimization
- Efficiently book tech generated leads for a smooth transition to a sales replacement appointment.
- Act as the air traffic controller for the Comfort Advisor team, routing leads based on geographic efficiency.
- Monitor live dispatch boards (unassigned, hold, and future boards) throughout the day to capitalize on immediate openings.
- Track sales reps in the field, ensuring they hit their appointment windows and adjusting schedules on the fly.
- Confirm all same-day and next-day sales appointments via phone and SMS to maintain a low cancellation/no-show rate.
- Ensure proper tagging, Business Units, and Job Types are logged correctly in the CRM for seamless reporting.
3. Daily Huddles
- Prepare metrics: input prior day results for Sales Manager to process and review and present in daily huddle.
- Deliver end-of-day handoffs to the Sales Manager and Dispatch, outlining remaining board opportunities, rep availability, and next-day pipeline readiness.
Key Performance Indicators (KPIs)

- Outbound Conversion: Re-visits and re-opened opportunities secured from unsold estimates.
