Responsibilities

  • Support recruitment efforts by posting open positions on career sites and job boards, coordinating interviews, and communicating with candidates and hiring managers.
  • Provide timely, professional, and engaging communication to candidates and new hires throughout the recruitment and onboarding processes.
  • Coordinate all aspects of full-time new-hire onboarding, including welcome communications, background screenings, new-hire paperwork, Form I-9 verification, new-hire orientation, workstation preparation, and equipment setup.
  • Coordinate the onboarding of gameday and event staff, including attending designated games and events to collect and review Form I-9 documentation.
  • Enter and maintain employee information in the HRIS, including new hires, employee changes, transfers, and separations, ensuring information is complete, accurate, and processed in a timely manner.
  • Coordinate the offboarding process for departing employees, including scheduling exit interviews, preparing required documentation, updating internal systems, and communicating with appropriate departments to facilitate a smooth transition.
  • Administer and track new-hire and exit surveys through Lattice, maintaining accurate and confidential records and identifying trends for the People & Culture team.

About The Role

Union Sports & Entertainment is seeking a motivated, organized, and people-focused professional to join our team as Coordinator, People & Culture. This role supports the full employee lifecycle and plays an important part in creating a positive, inclusive, and engaging workplace. The Coordinator will collaborate with employees and managers across the organization to help deliver a consistent, positive, and meaningful employee experience. This position supports the Philadelphia Union (MLS), Union II (MLS NEXT Pro), Philadelphia Union Academy (MLS NEXT U12–U18), Philadelphia Union Foundation, WSFS Bank Sportsplex, and Subaru Park. This is an excellent opportunity for an early-career People & Culture professional to gain broad, hands‑on HR experience while supporting employees across a dynamic professional sports organization.

Responsibilities
Employee Lifecycle

Employee Experience
  • Create and distribute the Union’s monthly employee newsletter, highlighting organizational updates, upcoming events, employee recognition, birthdays, and People & Culture initiatives.
  • Partner with the Union’s Employee Resource Groups to support their respective missions, coordinate quarterly meetings, and promote employee participation and engagement.
  • Coordinate and administer a robust wellness program that reflects the diverse needs, interests, and backgrounds of various groups of employees.
  • Support the People & Culture team in developing and administering an employee recognition program that reinforces a positive, supportive, and inclusive workplace culture.
  • Coordinate mandatory employee training programs across the organization, including communicating requirements, tracking participation and completion, maintaining accurate records, and following up with employees and managers as needed.
Employee & People Operations Support
  • Serve as a primary point of contact for general employee questions related to People & Culture, providing timely and professional assistance and escalating sensitive or complex matters to the appropriate team member.
  • Monitor departmental merchandise inventory by maintaining accurate records, coordinating distribution, and assisting with annual inventory forecasting.
  • Coordinate, track, and audit required employee background screenings, state-mandated clearances, and SafeSport certifications for full-time, part-time, and seasonal employees.
