Job summary

Lindenwood University is seeking a Payroll Coordinator to ensure accurate and timely payroll processing and to oversee time and attendance tracking within the university system.

The role reports to the Director, Payroll and is housed within the Human Resources division. The incumbent will manage payroll activities, maintain confidentiality, and support payroll audits and reporting across campuses as needed.

Qualifications

  • Bachelor's degree required.
  • At least 3 years of payroll experience.
  • Experience with Workday Payroll preferred.
  • Strong accuracy and confidentiality are essential.

Responsibilities

  • Ensures accurate computing of wages and withholdings.
  • Monitors payroll adjustments for promotions, transfers, terminations, and new hires.
  • Processes off-cycle checks for terminations and discrepancies.
  • Maintains compliance with multi-state taxation regulations.
  • Processes yearly tax forms and assists with tax status and direct deposit changes.
  • Answers payroll questions and resolves issues.
  • Conducts timecard and overtime audits; ensures timely submissions.
  • Maintains payroll-related files and SOPs.

Job Summary

The Payroll Coordinator ensures the accurate and timely processingof assigned payrolls while overseeing the efficient tracking andmanagement of employee time and attendance within the institution'ssystem.

Essential Job Functions and Performance Indicators

Job Responsibilities and Execution
  • Ensures that all computing of wages and withholdings foremployees is completed accurately and in a timely manner
  • Monitors payroll adjustments for all promotions, transfers,terminations and newly hired employees
  • Processes off-cycle checks as needed for terminations anddiscrepancies
  • Maintain compliance with multi-state taxation regulations onassigned payrolls
  • Processes yearly tax forms
  • Assists employees with making tax status and direct depositchanges within Workday
  • Answers questions and assists in resolving employees' payroll-related issues
  • Conducts overtime and timecard audits
  • Ensures that all timecards are completed, approved andsubmitted for payroll processing
  • Reviews and processes all payroll tax adjustments
  • Maintains payroll-related files and records
  • Conducts various payroll audits and provides reporting asneeded
  • Assists approvers with time corrections, time-off entry and anyquestions related to the timekeeping system
  • Assists the HR division with conducting payroll, timekeeping,compliance, and other operational audits; gathers and analyzesdata, prepares reports, and identifies discrepancies
  • Develops and updates SOPs for all processes within the payrolldepartment
Service Excellence
  • Supports the mission of the University and serves as an ambassadorof the Q2 culture of service excellence
  • Models, supports, and holds others accountable to the University’s values
  • Serves as the primary point of contact for employees answeringemails, phone calls, and inquiries in a timely manner
Communication, Teamwork and Collaboration
  • Works closely with the HR Specialists in managing employee andorganizational changes.
  • Assists employees and managers with questions about payrollpolicies and pay discrepancies
  • Provides time tracking training to timecard managers

Job may require other duties as assigned.

Required Qualifications

Required Qualifications – An equivalent combination ofeducation, training and experience will be considered. Additionalrequirements may be designated by position.

  • Bachelor's degree
  • Minimum of 3 years payroll experience
  • Experience with Workday Payroll or a similar systempreferred
