Job summary

Foundation for California Community Colleges is seeking a Coordinator, Operations and Conferences & Events to support in-person and hybrid office operations in Downtown Sacramento. The role collaborates with the Chancellor’s Office Education Services Division to plan, coordinate, and execute both internal and external events, ensuring alignment with Vision for Success and Guided Pathways.

Qualifications

  • Minimum of two (2)+ years of related client-side work experience with an entire cycle of event planning, execution, and evaluation.
  • Minimum of three (3)+ years of experience supporting a team.
  • Minimum of two (2)+ years of experience in an education or non-profit environment preferred.
  • Administrative event planning and execution experience.
  • Exemplary customer service skills, with desire to deliver highest-quality customer experience.
  • Excellent written and verbal communication skills, including the ability to gather and relay information in a timely, accurate and concise manner.

Responsibilities

  • Oversee day-to-day coordination of office operations (Zoom meetings, supplies, space reservations, communications).
  • Support both Operations and Conferences & Events teams; handle operational tasks.
  • Assist with event planning and execution of office events.
  • Manage event registration through Cvent; provide onsite support and post-event wrap-up.
  • Serve as liaison between Operations and Conference & Events teams for smooth execution.
  • Coordinate conference room schedules for FoundationCCC and Hub spaces.
  • Collaborate with Event Lead, Tech Team and Comms to build Cvent registration sites and speaker portals.
  • Collaborate with Tech Team and Event Lead for Zoom events; manage registration setup and reports.
  • Oversee onsite execution of virtual and in-person mid-level conferences and events.
  • Serve as first point of contact for visitors and guests.
  • Coordinate procurement, vendor relations, admin support, reception, parking, and event planning for administrative services.

Coordinator, Operations and Conferences & Events

100% In-Person in our Downtown Sacramento Office. Under the direction of the Manager, Conferences and Events and the Senior Manager, Office Operations in collaboration with the Chancellor’s Office, this Coordinator provides support for the Foundation for California Community Colleges and the Chancellor’s Office Education Services Division conferences and events, facilitating event integration with the goals outlined in the Vision for Success and Guided Pathways.

What You’ll Do
  • overseeing the day-to-day coordination of office operations such as running Zoom meetings, procuring supplies, managing space reservations, and communicating with internal and external groups.
  • this operational knowledge is essential to supporting both the Operations and Conference & Events teams and reflects the role’s operationally heavy nature.
  • assisting with event planning and execution of office events produced by the Conferences and Events team.
  • managing the event registration process through Cvent, preparing for events, providing onsite support, assisting with post-event wrap-up and reconciliation, and supporting the Manager with more complex events.
  • serving as a key liaison between the Operations and Conference & Events teams to ensure the smooth execution of in-office events and overall facility operations.
  • coordinating conference room schedules for both FoundationCCC conference room spaces and Hub Conference room spaces.
  • collaborating with Event Lead, Tech Team and Comms to build Cvent registration websites and speaker portals using online event management system.
  • collaborating with Tech Team and Event Lead for Zoom events and managing registration setup, internal review, and generating registration reports.
  • overseeing and/or providing onsite execution of virtual and in-person mid-level conferences and events.
  • serving as the first point of contact for visitors and guests of the FoundationCCC and the Collaboration Hub.
  • coordinating the activities and operations of the administrative services function which includes: procurement, vendor relations, administrative support and reception, parking, and event planning for Foundation Proper events. (Double Impact, Board of Directors, Miscellaneous Executive team/Office of the President supported events in office)
  • serving as liaison between the Conference and Events team and Operations team to ensure effective and efficient communication and coordination.

Budgeted Hourly Pay Range: $24.00 - $25.00 Final salary and rates are based on education, experience, skills relevant to the role, and internal equity.
