POSITION DESCRIPTION

Coordinator of Visualization and Audio Services will plan, track, and deliver visualization projects from initial concept to final execution. Ensure all visual outputs match brand guidelines and technical requirements. Set up new equipment like laptops, printers, and phones for workers. Document problems and steps taken to fix them in a database. Keep an inventory of agency non-tagged technology assets and issue as needed. Work with OTS and the LANG J6 to stay abreast of the agency's network structure. Maintain and update the lobby welcome monitor on a daily basis. Prepare reference material for users by drafting operation instructions. Coordinate with vendors Independence, Bon Carre, and Roseland RSA for office and facility updates when needed. Managing distribution and mailing lists. Prepare quote sheets. Coordinate the management, maintenance, modification, and operation of visual, audio, and electronic systems and equipment throughout the agency. Identify, troubleshoot, coordinate, and resolve issues involving electronic, audio, visual, and technology systems within agency facilities. Provide technical coordination and support for visualization and audio services and ensure that equipment and systems remain operational and meet organizational needs. Coordinate with IT personnel, vendors, contractors, creative teams, and other stakeholders regarding technology-related services, equipment, system requirements, and to define project requirements and goals. Provide program and project management support for visualization, audio, electronic, and facility technology initiatives. Assist with contract development, solicitation processes, bidding, vendor selection, and other contract-related activities necessary to secure goods and services on behalf of the agency. Support procurement activities, including preparing and processing purchase orders and coordinating purchases in accordance with agency policies and procedures. Coordinate the ordering, delivery, installation, and placement of office furniture and other agency equipment, as needed. Manage and coordinate requests for electronic connections, telecommunications, technology services, and other building-related service orders. Serve as a liaison between the agency and vendors, contractors, service providers, and internal departments to ensure the timely delivery of equipment and services. Monitor outstanding service requests, purchase orders, contracts, and equipment needs and provide follow-up to ensure timely completion. Maintain appropriate records and documentation related to contracts, procurement activities, purchase orders, equipment, service requests, and projects. Recommend improvements to visualization, audio, electronic, and technology services to enhance operational efficiency and meet the agency's evolving needs. Perform other related duties as assigned.

POSITION QUALIFICATIONS

Minimum Qualifications: Applicant must have a minimum of five (5) years of relative experience in visual and audio services management, electronic systems management, technology support, or a related field. The applicant should demonstrate knowledge and experience in the following areas: Visual and audio equipment management, maintenance, modifications, and troubleshooting. Information technology (IT) systems and technical support. Program and project management. Contract support, including assisting with the development of solicitations, securing contracts, preparing bid-related documentation, and supporting procurement activities on behalf of the agency. Procurement processes, purchasing procedures, purchase orders, and vendor coordination. Coordination and oversight of electronic and technology-related services throughout an organization or facility.

Preferred Knowledge, Skills, and Abilities:The ideal candidate will possess strong knowledge of visual and audio equipment and related electronic systems and its uses. Working knowledge of information technology and building-related technology services. Knowledge of procurement policies, purchasing procedures, and purchase order processing. Experience supporting contract solicitations, competitive bidding, and vendor procurement. Strong program and project management skills. Excellent problem-solving and troubleshooting abilities. The ability to manage multiple projects, priorities, vendors, and service requests simultaneously. The ability to work collaboratively with agency leadership, staff, contractors, vendors, and other stakeholders. The ability to communicate and explain technical fixes in simple terms. Knowledge of operating systems, specifically Windows 11. Familiarity with hardware maintenance and network basics. The ability to handle multiple tasks and schedules between divisions. A team player with a collaborative work style and willingness to be flexible to changing demands. Working knowledge of Microsoft Office Suite (Outlook, Excel, PowerPoint, Word).

GENERAL REQUIREMENTS
  • Must have a valid Driver's License, Social Security Card and Birth Certificate.
  • Must be available to report to duty during emergency or disaster situations for extended hours over an extended period of time. Other periodic travel may be required.
  • Must meet physical requirements to perform functions of the position.
  • Must attend/complete all Louisiana Military Department (LMD) annual training and other training required for the position.
  • Must adhere to the Code of Ethics and foster a Sexual Harassment-Free Environment.
CONDITIONS OF EMPLOYMENT
  • All LMD positions require in-office attendance. This is not a remote position.
  • Salary is paid by Electronic Funds Transfer (EFT) / Direct Deposit Only. A checking or savings account is required for employment.
