Job summary

Princeton University’s Department of Athletics is seeking a Coordinator, Intercollegiate Programming to oversee scheduling and event operations. The role reports to the Deputy Director of Athletics and collaborates with the Athletics Administrative Assistant to represent the University professionally.

Responsibilities include managing EMS scheduling, coordinating with coaches and staff, generating contracts, and serving as game day operations manager for selected events.

Qualifications

  • Bachelor's degree or equivalent and minimum of one year of related experience.

Responsibilities

  • Serve as scheduling director and manage all aspects of the EMS scheduling system.
  • Assist in the development and maintenance of the system to ensure all needs of the department are met.
  • Serve as the primary scheduler for the athletic department on all issues related to athletic facility scheduling including practices, contests, special events and meetings.
  • Handle select Bubble scheduling.
  • Communicate and coordinate with coaches, staff and university organizations to manage schedules for facility space for athletic contests, practices and special events.
  • Generate contracts and verify their return for varsity home contests. Monitor contractual arrangements for all home and away intercollegiate contests.
  • Distribute scheduling reports to department staff and mail schedules to alumni and fans as needed.
  • Serve as game day event operations manager for selected home athletic and external events as directed by the Associate Director of Athletics for Event Operations.
  • Assist Associate Director of Athletics for Event Operations in hiring, training and supervising necessary staff for selected events.
  • Prepare and submit post-season bids assigned.
  • Schedule meetings and plan events on behalf of the director and deputy director.
  • Set-up/coordinate monthly staff meetings as needed.
  • Serve as representative on committees on behalf of deputy director as appropriate.
  • Assist Director of Athletics, Deputy Director of Athletics and Athletics Administrative Assistant with projects as assigned.
  • Perform research and create presentations/reports for the director and deputy director that requires the utmost discretion and confidentiality.
  • Serve as coordinator of department contact software, Teamworks, including troubleshooting and training.
  • Other duties as assigned.
