Job description

The coordinator is responsible for assisting with verification of completed dictation in the electronic health record (EHR). Must quickly, accurately, and comprehensively read and understand medical records and terminology to provide strict quality, accuracy, and deadline protocols and uphold the confidentiality of patient records, only releasing them to authorized personnel. Monitors and follow up with physicians with record deficiencies within the incomplete record (ICR), until completed. Responsible for monitoring timely medical record documents per The Joint Commission standards and communicating information to Health Information Manager. Responsible for monitoring and reporting delinquent medical records per physician if not completed in a timely period. Assists with chart assembly as needed. Coordinates authenticity of authorizations for release of medical records. Responsible for preparing legal documents for birth certificates.

  • Maintains confidentiality of protected health information (PHI)
  • Assists internal and external stakeholders with information needs and requests
  • Effective and pleasant communication in person, by phone, and electronically
  • Works within the Electronic Health Record system
  • Handles patient-facing applications for access to medical records
  • Handles phone, email, fax, physical, and digital inquires and responds to all requests appropriately and timely
  • Adheres to HIPPA Compliance Plan and Privacy Standards Confidentiality Agreement
  • Assists customers in setting up the patient portal
  • Responsible for the release of medical records
  • Assists with updating/maintaining the patient portal
  • Prepares legal documents for birth certificates



Required Education, Skills, and/or Abilities:

  • Associates Degree, medical records or equivalent
  • Knowledge of transmitting and receiving electronic data
  • Knowledge of medical terminology
  • Knowledge of medical record numbers
