Job summary

The Public Schools of Northborough and Southborough seek a Coordinator for Special Assignments to oversee the financial and human resources administrative operations of the district's preschool and afterschool programs. You will manage tuition billing, purchasing, budget development, and onboarding/offboarding of staff to keep programs compliant and running smoothly.

Responsibilities include coordinating business functions, managing purchases, maintaining accurate enrollment and attendance

Qualifications

  • Associate’s degree in business administration, accounting, or related field; Bachelor’s degree preferred.
  • Two years of experience in business operations, office administration, or related field; school/nonprofit setting preferred.
  • Knowledge of budgeting, bookkeeping, and financial recordkeeping.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and financial management software.
  • Strong organizational skills with attention to detail and accuracy.
  • Effective written and verbal communication skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Ability to work independently and collaboratively with staff and administrators.

  • Manage staff attendance records.
  • Review Extended Day Program timesheets and vendor invoices for payroll preparation.
  • Ensure compliance with district policies and applicable regulations.
  • Provide customer service to families, staff, and vendors regarding financial and operational matters.
  • Perform other duties as assigned to support program operations.

Job Title: Coordinator for Special Assignments

Position Overview: The Coordinator for Special Assignments is responsible for the financial and human resources administrative operations of the District’s preschool and afterschool programs. This position oversees tuition billing and collections, purchasing, budget development, and employee and student onboarding/offboarding and other support to ensure effective, efficient, and compliant program operations.

Key Responsibilities:

  • Manage purchasing and supply ordering to ensure the Extended Day Programs’ needs are met.
  • Prepare, issue, and collect tuition billing; maintain accurate payment records; and follow up on outstanding balances.
  • Prepare the annual program budget in collaboration with leadership.
  • Monitor and reconcile the budget throughout the year to ensure fiscal responsibility.
  • Support the onboarding and offboarding processes for Extended Day Program employees, and provide Human Resources support to those employees.
  • Manage Extended Day Program student enrollment, including processing new registrations and maintaining accurate records.
  • Manage staff attendance records.
