Job summary

The St. Louis Community College Foundation is seeking a Development Operations & Communications Coordinator to oversee CRM and fundraising workflows.

  • Bachelor’s degree from an accredited college or university.
  • 3 years of progressively responsible experience in development operations, advancement services, fundraising operations, database administration, nonprofit administration, higher education advancement, or a related field.
  • Experience administering a constituent relationship management system or fundraising database, developing reports and data extractions, and creating print or digital communications.

Responsibilities

  • Manages the daily operation of the Foundation’s CRM and other assigned systems, including data cleanup, troubleshooting, system maintenance, integrations, and coordination with IT and external vendors.
  • Processes charitable contributions and ensures gifts are accurately entered, coded, acknowledged, receipted, and documented in accordance with Foundation policies and applicable regulations.
  • Manages gift-processing and reconciliation activities in collaboration with the Executive Director and Finance to ensure the accuracy of donor records and financial reporting.
  • Develops, generates, and analyzes fundraising, donor, campaign, and revenue reports to support strategic planning and organizational decision-making.
  • Designs functional specifications for custom queries, reports, data extractions, and system enhancements and works with technical resources to develop and implement solutions.
  • Establishes and maintains data standards, develops and implements procedures for data entry, quality control, system access, confidentiality, and data security, and promotes best practices for constituent data management across the Foundation.
  • Establishes and maintains structures within the CRM to identify and segment constituent populations for analysis, recognition, communications, and targeted fundraising efforts.
  • Provides system guidance and support to Foundation staff and develops and maintains written procedures, instructions, and user-reference materials for the Foundation’s CRM and other assigned systems.
  • Maintains online-giving platforms and other fundraising technologies to ensure an effective donor experience and effective system performance.
  • Serves as the Foundation’s liaison to Information Technology and external vendors for its CRM, event-management, scholarship-management, online-giving, and other assigned systems, coordinating troubleshooting, maintenance, integrations, and system improvements.
  • Conducts prospect research and prepares donor profiles, giving histories, and capacity information to support fundraising strategies.
  • Analyzes giving trends, donor activity, campaign performance, and College priorities and recommends data-informed donor-relations and fundraising opportunities.
  • Develops stewardship reports, donor-impact summaries, and giving analyses to support donor engagement and retention.
  • Supports Foundation-wide stewardship activity by recording, tracking, monitoring, and reporting donor commitments, fund requirements, recognition activities, and other stewardship information in the CRM.
  • Oversees the preparation and distribution of donor acknowledgment letters, tax receipts, and other stewardship communications.
  • Serves as the Foundation’s primary point of contact with the College’s Marketing and Communications department by directing communication, gathering content and project needs, and streamlining requests to support efficient project execution.
  • Leads the collection of content, stories, photographs, and project updates from Foundation staff to support communications, fundraising, and donor engagement.
  • Creates routine Foundation marketing materials, including flyers, invitations, newsletters, social media graphics, presentations, email communications, and informational brochures consistent with College brand standards.
  • Develops event-specific materials to support fundraising and donor-engagement activities, including event and meeting signage, silent-auction materials, presentation slides, and related materials.
  • Oversees the production and distribution of printed and digital materials needed for meetings, donor events, scholarship-recognition events, and fundraising activities.
  • Maintains Foundation-branded templates for presentations, correspondence, event materials, donor communications, and other recurring documents to ensure consistency and efficiency.
  • Directs website updates, online content, and Foundation communication platforms to ensure information remains current and accurate.
  • Collaborates with the College’s Marketing and Communications department to coordinate larger communication projects, publications, fundraising campaigns, promotional materials, and brand-review processes.
  • Oversees the Foundation’s communications and marketing calendar to support timely outreach, campaign execution, and event promotion.
  • Supports Foundation fundraising events, donor-engagement activities, and special projects as assigned.

Job description

Under the general direction of the Executive Director of the Foundation, the Development Operations & Communications Coordinator oversees the Foundation’s development operations by managing constituent data management, gift processing, reporting, prospect research, and donor stewardship systems. The position serves as the Foundation’s primary system administrator and functional lead for its constituent relationship management (CRM) system and other assigned Foundation systems and is responsible for ensuring the integrity, accuracy, security, and effective use of constituent and fundraising data to support strategic decision-making and fundraising success. The position provides system guidance and support to Foundation staff and serves as the Foundation’s liaison to Information Technology and external system vendors.

The position also serves as the Foundation’s primary marketing and communications coordinator, collecting content from Foundation staff, developing routine and special-project marketing materials, maintaining Foundation communication platforms, and serving as the liaison to the College’s Marketing and Communications (MarCom) department to coordinate larger communication and branding initiatives. The individual works independently while managing multiple priorities to support fundraising, donor engagement, operational effectiveness, and Foundation visibility.

  • Experience with prospect research, donor analytics, and online-giving or other fundraising technologies is preferred.
  • Experience creating marketing materials and managing website or social media content using standard communications software is preferred.
