Position Summary
Provide comprehensive administrative and operational support to the Individual Development team, including implementation of an annual fundraising drive, solicitation volunteer coordination, data management, and departmental communications.
KEY RESPONSIBILITIES & ESSENTIAL DUTIES OF POSITION
An individual must be able to perform each essential duty listed below at a satisfactory level:
- Assist with the launch of HFUW’s annual fundraising drive that will support donor retention, renewal, and acquisition of individual donors.
- Support the recruitment and coordination of solicitation volunteers to meet program and participation goals, ensuring timely engagement, clear communication, accurate tracking, and fulfillment of administrative requirements.
- Administer the Individual Development’s prospecting process in partnership with the Technology team to ensure accurate data management, tracking, and identification of giving opportunities.
- Update and maintain the Customer Relationship Management (CRM) system.
- Assist with providing detailed reporting on individual solicitation outputs and outcomes.
- Handle administrative tasks for the Individual Development team mailings, including editing, printing, assembling, and coordination.
- Answer and coordinate inbound communications related to leadership donors.
- Support the individual giving team onsite and offsite events and meetings (scheduling meetings, managing attendance, preparing materials, room setup, and developing meeting minutes).
- Work with the Donor Relations team to ensure timely recognition of donor gifts, to maximize revenue, and enhance donor loyalty.
- Ensure adherence to all organizational policies and procedures, staying informed about updates, and promoting compliance within the team.
- Collaborate with other departments to ensure consistent brand representation.
- Process vendor payment and work closely with HFUW’s Finance team to ensure that all payment requests are processed accurately and timely.
- Provide back-up support to the Development and External Relations team.
- Stay informed about HFUW’s services, products, and the key issues affecting the communities we serve.
- Maintain client and staff confidentiality and adhere to HIPAA, FIPA, PHI, PII requirements.
- Contribute to overall organizational success by performing other duties and responsibilities as assigned.
JOB REQUIREMENTS
Job requirements include:
- Associate degree or equivalent combination of experience and education may be considered in lieu of degree. Bachelor’s degree preferred.
- One year of experience in administration and annual fund or development preferred.
- Fundraising, volunteer management, social services, fundraising, or sales experience preferred.
- Ability to engage C-Suite donors and prospects while building and maintaining relationships.
- Public speaking skills with the ability to confidently address large groups preferred.
- Intermediate experience with Microsoft Office required, with advanced experience in Excel preferred.
- Fundraising CRM database experience preferred.
- Customer service skills and experience required.
- Ability to edit, complete, and assemble reports.
- Attention to detail and accuracy.
- Excellent analytical skills.
- Ability to multi-task and work in a fast-paced environment.
- Ability to work independently with minimal supervision required.
- Strong communication skills, both written and orally, required.

Physical demands include:
