Job summary

Cando Rail & Terminals is seeking a Customer Service Coordinator to welcome drivers, coordinate on-site railcar movements, and manage daily clerical tasks. You will ensure accurate paperwork, conduct safety briefings, and provide customers with daily inventory and movement reports.

This role requires strong communication, attention to detail, and SAP/inventory experience. Monday–Friday, on-site hours 6am–5pm, with a customer-service mindset and professional demeanor.

Responsibilities

• Coordinate pickup and delivery schedules with oil companies, truck drivers, and the railroad.
• Handle paperwork and data entry in the information system.
• Manage on-site railcar inventories and coordinate inbound/outbound rail movements.
• Prepare bills of lading for outbound railcars.
• Conduct safety briefings for drivers and visitors.
• Provide customers with inventory and movement reports.
• Resolve customer inquiries and coordinate with other logistics staff.

Job description

The Customer Service Coordinator serves as the front line of the operation, welcoming drivers delivering loads to Cando’s facility and coordinating the on-site movement and inventory of railcars. The role also supports daily operations by completing routine clerical and administrative tasks.

Job Duties

• Coordinate pickup and delivery schedules with oil companies, truck drivers, and the railroad.
• Check trucks in and out, ensure all required paperwork is completed, and enter data accurately into the designated information system.
• Coordinate inbound and outbound rail movements with the railroad and Cando personnel using phone and radio communications while maintaining accurate on-site railcar inventories.
• Prepare bills of lading for outbound railcars.
• Conduct safety briefings for visiting drivers, customers, and other visitors.
• Verify inventory system accuracy and provide customers with daily and weekly inventory and movement reports.
• Work directly with customers to answer questions, resolve issues, and provide requested information.
• Partner with other logistics coordinators to reconcile information and correct errors.

Requirements/Qualifications

• Advanced proficiency in Microsoft 365, including Word, Excel, and PowerPoint.
• Inventory management and SAP experience.
• Strong communication skills to include both written and verbal.
• Strong knowledge of organization, planning, records management, research, and general administrative practices.
• Excellent attention to detail and effective problem-solving skills.
• Basic computer and data entry skills.
• Attention to detail is a MUST!
• Will need to be open to work Monday through Friday, during the hours of 6am-5pm. (Shift will be between the hours listed.)
• Professional demeanor and a strong customer service mindset in daily interactions.
• Logistics or terminal experience.
• Problem solving/multitasking experience.
• Familiar with safety compliance procedures.
• Ability to anticipate operational needs and plan to support the operation, manager, and team members.
• Ability to multitask, prioritize assignments, and meet corporate deadlines.
