Job Title: Coordinator, Business Operations


Work Arrangement: Onsite only


Location: Houston, TX


Salary Range: $47,372 - $55,731


FLSA Status: Nonexempt


Work Schedule: Monday – Friday, 8 a.m. – 5 p.m.


Summary

We are seeking a highly motivated Coordinator, Business Operations to support the Section of Epidemiology and Population Sciences within the Department of Medicine. The individual will serve as the primary administrative coordinator for the Section Chief and the Real-World Data (RWD) Training Program, providing comprehensive support for trainee recruitment, program communications, website maintenance, and daily operations. The coordinator will manage the Section Chief's calendar, coordinate meetings and Grand Rounds, and assist with program evaluation, annual reporting, and grant-related activities. This role operates in a fast-paced research environment and requires a proactive, highly organized individual who can anticipate needs, exercise sound judgment, maintain attention to detail, and effectively manage multiple competing priorities in support of the Section's research, training, and administrative objectives.


This position may offer the flexibility of a hybrid work arrangement after an initial training period of 90 days.


Job Duties

Administrative Support & Executive Coordination



  • Manages and maintains the Section Chief's calendar, meetings, appointments, and correspondence.

  • Prepares agendas, presentations, reports, and meeting materials.

  • Coordinates Grand Rounds, seminars, and section meetings.


RWD Training Program Administration



  • Coordinates day-to-day operations of the Real-World Data (RWD) Training Program.

  • Manages trainee recruitment activities, interview scheduling, onboarding, and communications.

  • Serves as a liaison among trainees, faculty mentors, and program leadership.


Reporting, Communications & Website Management for RWD Training Program



  • Maintains and updates the training program website and communication materials.

  • Tracks trainee metrics and outcomes.

  • Assists with annual reports, progress reports, program evaluations, and sponsor-required documentation.


Event & Logistics Coordination



  • Coordinates workshops, annual meetings, advisory committee meetings, trainee events, and special projects.

  • Manages event logistics, scheduling, and related communications.


Operational Support



  • Manages purchasing, inventory, supplies, and other operational activities supporting program and trainee needs.

  • Performs other job-related duties as assigned.


Minimum Qualifications


  • High School diploma or GED.

  • Two years of relevant experience.


Preferred Qualifications


  • Experience managing executive-level calendars and coordinating complex schedules in a fast-paced academic, healthcare, or research environment.

  • Experience maintaining websites, developing communication materials, and supporting program communications.

  • Excellent organizational, interpersonal, customer service, and problem-solving skills with the ability to manage multiple competing priorities.

  • Demonstrated ability to exercise sound judgment, maintain confidentiality, and work independently with minimal supervision.

  • Strong proficiency in Microsoft Office applications, including Outlook, Word, Excel, and Teams.

  • Experience coordinating meetings, seminars, workshops, or training programs.

  • Experience supporting grant-funded programs or research operations.

  • Ability to independently prioritize competing requests and manage confidential information with discretion.

  • Experience coordinating executive-level calendars and supporting senior leadership.
