South Coast Winery Resort & Spa has an excellent opportunity for an experienced Convention Services Manager. The ideal candidate will have previous experience in a full-service resort.
Some Essential Duties Include:
- Provide excellent customer service to clients.
- Maintain client files and equipment in an orderly and professional manner.
- Listen to team members, customers, and vendors to understand requests and provide accurate information and assistance to ensure customer satisfaction.
- Assist other departments when necessary.
- Coordinate registration and payment procedures.
- Coordinate banquet services and guest accommodation needs.
- Maintain relationships with vendors including rental companies, entertainment suppliers, and transportation companies.
- Ensure all materials and equipment required for events are in place and address any deficiencies.
- Prepare cover sheets, rooming lists, and reports based on room blocks and customer information.
- Maintain timely and effective communication within the sales and catering area and with other departments.
- Act as the primary client contact for detailing group/events after the Sales or Catering Manager receives the signed contract.
- Attend weekly forecasting meetings to communicate anticipated pick-up, schedules, and trends to the Revenue Manager and other departments.
- Develop and maintain strong interdepartmental relationships and open communication lines for efficient information transfer.
- Accurately complete BEOs and contracts daily, ensuring all details are tracked and recorded in Delphi.
- Maintain the Delphi database for all bookings, including space blocking and revenue tracking.
- Update business opportunities and status in the Delphi system.
- Assist with amenities and welcome note cards.
- Conduct site inspections for potential clients in the absence of a sales manager and for confirmed bookings.
- Coordinate showrooms, VIP amenities, and sales collateral requests as needed.
- Accept and accurately record payments for events and deposits.
- Support the Sales Team as requested.
- Coordinate any special needs or requests of clients with all departments, including site inspections.
- Coordinate client rental orders and vendors as needed.
- Coordinate sales department and other in-house events.
