Job summary

Responsibilities

  • Coordinate logistics and projects shaping attendee experience.
  • Research and recommend new attendee experiences, activations, and program elements.
  • Manage invitations and logistics for events such as the First-Timer Meet-Up and Media Reception.
  • Coordinate special programs and initiatives that vary by year based on priorities.
  • Coordinate printed and digital content among staff and the convention's marketing agency.
  • Maintain the master communications and email calendar.
  • Prepare and distribute communications via Constant Contact and other platforms.
  • Update website content and coordinate edits provided by team members.
  • Provide content and updates to the mobile app provider.
  • Coordinate photo and video assets from capture through distribution.
  • Serve as the primary administrator of the session management platform.
  • Coordinate session details and speaker information.
  • Assist with post-show evaluations, reporting, and program metrics.
  • Support the onsite execution of educational sessions.
  • Assist with fulfilling sponsorship deliverables.
  • Research potential new sponsorship opportunities.
  • Maintain master calendars of deadlines, deliverables, and milestones.

About the American Soybean Association

The American Soybean Association is the national trade association representing nearly 500,000 U.S. soybean farmers across 30 soybean-producing states. For more than 100 years, ASA has advocated for soybean growers on domestic policy, international trade, and issues affecting the success of U.S. agriculture.

About Commodity Classic

Commodity Classic is the annual convention and trade show jointly owned by the American Soybean Association and the National Corn Growers Association, with participation from the National Sorghum Producers, National Association of Wheat Growers, and the Association of Equipment Manufacturers.

The event brings together farmers, agriculture industry professionals, association leaders, researchers, economists, government representatives, exhibitors, and other industry stakeholders. The 2026 Commodity Classic attracted more than 12,000 registrants and over 400 exhibiting companies.

The event features a major trade show, educational sessions, association business meetings, galas, networking opportunities, and social events.

About the Role

The Convention Project Coordinator is an important member of the Commodity Classic team and assists with the planning, coordination, and execution of the annual convention.

The ideal candidate is highly organized, detail-oriented, deadline-driven, and comfortable managing multiple projects simultaneously. This person will work collaboratively with ASA staff, partner associations, vendors, sponsors, agencies, and other stakeholders to ensure projects and deliverables remain on schedule.

This position offers the opportunity to contribute meaningfully to a large, complex, nationally recognized event while working as part of a collaborative, multi-association team.

What You’ll Do
Convention Production & Attendee Experience

Coordinate logistics and projects that shape the attendee experience, including optional tours, lobby entertainment, signage and wayfinding, show supplies, and onsite materials.

Research and recommend new attendee experiences, activations, and program elements.

Manage invitations and logistics for events such as the First-Timer Meet-Up and Media Reception.

Coordinate special programs and initiatives that may vary from year to year based on convention priorities.

Marketing & Communications

Coordinate printed and digital content among staff and the convention's marketing agency.

Maintain the master communications and email calendar.

Prepare and distribute communications through Constant Contact and other platforms.

Help keep content and marketing projects on schedule.

Update website content and coordinate edits provided by team members.

Provide content and updates to the mobile app provider.

Coordinate photo and video assets from capture through distribution.

Education Program Administration

Serve as the primary administrator of the session management platform.

Coordinate the collection and distribution of session details and speaker information.

Support the onsite execution of educational sessions.

Sponsorship Support

Assist with fulfilling sponsorship deliverables.

Research potential new sponsorship opportunities.

Project & Timeline Management

Maintain master calendars of deadlines, deliverables, and key milestones throughout the convention cycle.

Help ensure staff and project partners remain on track and informed.

Support the Director of Conventions & Meetings and the Show Director.

Take on special projects and other responsibilities as assigned.

Familiarity with agriculture, farming, or agricultural associations is helpful but not required.
